Scheduling Coordinator / Purchasing

Job Summary

The Scheduling Coordinator / Purchasing position is responsible for coordinating production schedules, managing incoming orders, monitoring inventory and material requirements, and supporting purchasing activities to ensure customer orders are completed accurately and on time. This position works closely with Customer Service, Purchasing, Manufacturing, and Shipping to keep production moving efficiently and address material or scheduling issues as they arise. 

Essential Duties & Responsibilities

Production Scheduling

• Review incoming customer orders and determine production requirements needed to support fulfillment.
• Create and manage batch tickets for production, intermediate materials, and post-production activities.
• Calculate appropriate batch sizes based on available production data and customer requirements.
• Assign production orders to the appropriate production lines.
• Schedule sample orders as needed.
• Move orders between production lines when necessary and obtain required approvals.
• Provide backup support for production scheduling functions. 

Purchasing & Material Coordination

• Monitor material requirements associated with upcoming production schedules.
• Communicate with Purchasing regarding material availability and request updates when needed.
• Help identify potential material shortages that could impact production schedules or customer orders.
• Coordinate with Purchasing, Manufacturing, Customer Service, and Shipping to support accurate order-status updates.
• Review inventory and production requirements to help ensure materials are available when needed. 

Inventory, Rework & ERP Management

• Add non-conforming material work-off and rework formulas to production schedules as directed.
• Review new rework pools for materials that can be consumed during future production.
• Maintain accurate notes within the ERP scheduling system regarding rework materials, substitutions, and other special production considerations.
• Review aged inventory for potential work-off opportunities.
• Provide scheduling and inventory data for internal reporting as requested. 

Batch Ticket Management

• Create, print, and distribute batch tickets to production.
• Prepare batch tickets for materials covered under established stocking programs.
• Add manufacturing-related batch tickets, including screw pull and purge requirements.
• Close completed batch tickets daily.
• Scan and maintain completed batch ticket documentation as required. 

Communication & Coordination

• Maintain consistent communication between Manufacturing, Purchasing, Customer Service, and Shipping.
• Assist with production and customer order-status updates.
• Participate in departmental meetings as required.
• Proactively follow up on materials, production needs, and scheduling concerns that could impact customer delivery dates. 

Safety & Compliance

• Follow all company safety policies and procedures.
• Promote a safety-focused work environment through personal accountability and proper work practices. 

Qualifications & Skills

• Strong organizational and time-management skills.
• Ability to manage multiple orders, priorities, and deadlines simultaneously.
• Ability to calculate production and inventory needs using available data and customer requirements. 
• Strong written and verbal communication skills. 
• Comfortable communicating across Purchasing, Manufacturing, Customer Service, and Shipping departments.
• Proficiency with ERP systems and Microsoft Office. 
• Strong attention to detail and accuracy.
• Ability to identify scheduling or material issues and follow through until they are resolved.
• Previous experience in manufacturing, production scheduling, purchasing, inventory control, supply chain, or a related environment is preferred.
