Sales Accounting Specialist

Job Summary

We are seeking a detail-oriented Sales Specialist to support sales and financial operations within a manufacturing environment. This role is responsible for managing customer invoicing, reconciling sales and payments, tracking purchase orders, and ensuring compliance with trade regulations. The ideal candidate will have a strong accounting background, advanced Microsoft Excel skills, and excellent analytical and organizational abilities.

Key Responsibilities

• Perform monthly sales and payment reconciliations, identifying discrepancies and ensuring accurate financial records.

• Prepare and issue customer quotations and invoices accurately and in a timely manner.

• Track and manage customer purchase orders, including pricing updates and order adjustments.

• Calculate, process, and reconcile retroactive pricing adjustments, including debit and credit transactions.

• Complete and submit customer surveys and regulatory compliance documentation, including USMCA, FTA, CAFE, AALA, and US Content requirements.

• Utilize advanced Microsoft Excel functions to analyze financial data, maintain reports, and improve operational efficiency.

• Collaborate with sales, accounting, and customer service teams to resolve discrepancies and support daily operations.

Requirements

• Minimum of 3 years of accounting-related experience required, preferably in accounting, finance, or inside sales.

• Educational or professional background in Accounting, Finance, Business, or a related field.

• Advanced Microsoft Excel proficiency, including VLOOKUP/XLOOKUP, INDEX/MATCH, PivotTables, and complex formulas.

• Experience with accounts receivable, invoicing, financial reconciliations, and purchase order management.

• Knowledge of trade compliance regulations, including USMCA, FTA, or automotive/manufacturing compliance surveys, strongly preferred.

• Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.

• Excellent written and verbal communication skills with the ability to coordinate effectively across departments.
