Production Control & Customer Operations Specialist

Position Summary

We are seeking a detail-oriented and highly organized Production Control & Customer Operations Specialist to support customer communication, production planning, sales operations, inventory coordination, and supply chain activities.

This position serves as a key liaison between customers, internal departments, and overseas manufacturing facilities in Mexico, helping ensure accurate production planning, timely deliveries, accurate sales and shipment data, and efficient day-to-day business operations.

The ideal candidate is a persistent and dependable professional who is comfortable working with detailed data, managing multiple priorities, communicating across departments, and using Microsoft Excel and ERP systems such as SAP.

Key Responsibilities

Inventory & Sales Operations

  • Receive customer production schedules and accurately enter and maintain data in SAP.
  • Perform shortage analysis and create shipment orders based on customer requirements.
  • Develop monthly sales plans and assist with annual business planning.
  • Prepare customer-required documentation and coordinate information with internal departments.
  • Communicate with overseas manufacturing facilities in Mexico regarding production schedules and customer requirements.
  • Monitor and communicate production line availability while considering international holiday schedules.
  • Respond promptly to customer inquiries and assist with resolving customer complaints.
  • Coordinate with production, logistics, sales, and other internal teams to support customer requirements.

Sales Operations & Accounts Receivable

  • Prepare daily shipment reports and monthly delivery summaries.
  • Reconcile shipment and delivery information with customer records.
  • Maintain monthly shipment data and monitor accounts receivable status.
  • Prepare, issue, and manage customer invoices.
  • Process sales transactions through SAP and coordinate with the Finance team.
  • Prepare monthly sales closing reports.
  • Follow up on outstanding customer payments when necessary.
  • Maintain accurate records and ensure sales and shipment information is complete and up to date.

Country of Origin Compliance

  • Manage country-of-origin documentation for imported products.
  • Maintain origin qualification ratios for products manufactured in Mexico.
  • Prepare and provide documentation in response to customer requests regarding country-of-origin requirements.
  • Coordinate with internal teams and manufacturing locations to ensure documentation remains accurate and compliant.

Additional Responsibilities

  • Support new customer setup, including vendor and banking registration in coordination with Finance.
  • Prepare finished goods inventory audit reports.
  • Prepare corrective action reports related to inbound product issues and customer claims.
  • Assist with special projects and other operational activities as needed.
  • Travel to customer sites as needed to support customer communication and business needs.

Qualifications & Skills

Required

  • Strong attention to detail and excellent organizational skills.
  • Persistent, dependable, and consistent work ethic.
  • Advanced or strong Microsoft Excel skills — this is one of the most important qualifications for the position.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and analytical abilities.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work effectively in a fast-paced, cross-functional environment.
  • Strong ability to work independently while also collaborating with internal and external teams.

Preferred

  • Experience in customer operations, supply chain, logistics, manufacturing coordination, or a related field.
  • Experience working with an ERP system; SAP experience is strongly preferred.
  • Spanish-speaking ability is preferred due to communication with overseas manufacturing facilities in Mexico.
  • Experience with inventory, sales operations, accounts receivable, or production planning.
  • Experience working with international customers or manufacturing operations.
