Position Overview
Our client is seeking a highly organized and detail-oriented Automotive Title & Documentation Specialist to support the buying and selling of vehicles throughout the United States. This position will be responsible for managing title documentation, communicating with vehicle sellers and dealers, and ensuring all required paperwork is obtained, accurate, and processed in a timely manner.
The ideal candidate will have strong administrative and communication skills, experience working with automotive titles and lien releases, and the ability to follow up consistently to resolve documentation issues.
Key Responsibilities

Coordinate and follow up on vehicle titles for purchases and sales across the United States.

Communicate professionally and consistently with vehicle sellers, dealers, financial institutions, and other involved parties.

Track outstanding titles, lien releases, and other required vehicle documentation.

Follow up on missing, incomplete, or incorrect paperwork to ensure timely resolution.

Assist with obtaining replacement or duplicate vehicle titles when original titles are unavailable.

Research title requirements and documentation processes that may vary by state.

Maintain accurate and organized records of title status and outstanding documentation.

Monitor multiple transactions simultaneously and ensure deadlines and follow-up requirements are met.

Identify discrepancies or potential issues with titles and documentation and work toward resolution.

Provide clear updates regarding the status of titles and documentation.

Maintain confidentiality and professionalism when handling customer and vehicle information.
Qualifications
-
Previous experience with automotive titles, lien releases, vehicle documentation, or a related administrative role strongly preferred.

Experience working with dealerships, automotive sales, vehicle auctions, or title processing is a plus.

Demonstrated experience communicating with sellers and other external contacts to obtain required documentation.

Experience obtaining replacement or duplicate vehicle titles preferred.

Strong organizational and follow-up skills.

Exceptional attention to detail and accuracy.

Ability to manage multiple vehicle transactions and competing priorities.

Strong written and verbal communication skills.

Comfortable making frequent phone calls and sending professional email correspondence.

Ability to research and understand state-specific title and documentation requirements.

Proficient with computers, email, and standard office software.
Ideal Candidate
The successful candidate will be extremely detail-oriented, persistent, organized, and comfortable following up until an issue is resolved. This individual should be able to manage a high volume of documentation while maintaining accuracy and professionalism.
Experience in automotive title processing or dealership operations is highly desirable, but candidates with strong administrative, documentation, and follow-up experience may also be considered.
