Position Summary

The Accountant is responsible for managing the day-to-day accounting functions of the company, with a primary focus on Accounts Payable, Accounts Receivable, Payroll, and Certified Payroll administration. This role supports the financial operations of a growing construction company by ensuring accurate financial records, timely payments and collections, compliance with prevailing wage regulations, and efficient payroll processing.

The ideal candidate will possess strong accounting knowledge, attention to detail, and experience in the construction industry, including certified payroll reporting and job cost tracking.

Essential Duties and Responsibilities

Accounts Payable

  • Process vendor invoices and employee expense reports accurately and timely.
  • Review invoices for proper coding, approvals, and supporting documentation.
  • Prepare and process weekly check runs and electronic payments.
  • Reconcile vendor statements and resolve discrepancies.
  • Maintain vendor records, including W-9 documentation and insurance certificates.
  • Monitor subcontractor compliance documentation before payment processing.

Accounts Receivable

  • Generate customer invoices and progress billings.
  • Monitor accounts receivable aging and follow up on outstanding balances.
  • Process customer payments and maintain accurate records.
  • Prepare lien waivers and related customer documentation as required.
  • Assist with collections and customer account reconciliation.

Payroll & Certified Payroll

  • Process weekly and bi-weekly payroll for field and office employees.
  • Review employee timesheets and labor allocations for accuracy.
  • Maintain employee payroll records and deductions.
  • Prepare and submit certified payroll reports in compliance with federal, state, and local prevailing wage requirements.
  • Ensure compliance with Davis-Bacon and other prevailing wage regulations when applicable.
  • Coordinate payroll tax filings and payroll-related reporting.
  • Respond to employee payroll inquiries and resolve discrepancies.

General Accounting

  • Assist with monthly bank and credit card reconciliations.
  • Prepare journal entries and support month-end closing activities.
  • Maintain accurate financial records and supporting documentation.
  • Assist with job cost reporting and project accounting functions.
  • Support annual audits, tax preparation, and financial reviews.
  • Ensure compliance with company policies and accounting procedures.
  • Perform other accounting and administrative duties as assigned.

Required Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
  • Minimum of 2 years of accounting experience required.
  • Experience in construction accounting preferred.
  • Experience processing payroll and certified payroll required.
  • Knowledge of prevailing wage and certified payroll regulations.
  • Proficiency in Microsoft Excel and accounting software.
  • Strong understanding of Accounts Payable, Accounts Receivable, and general accounting principles.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Strong communication and problem-solving skills.

Preferred Qualifications

  • Experience with construction accounting software such as Foundation, Sage 100 Contractor, Viewpoint Vista, ComputerEase, or similar systems.
  • Understanding of job costing and project-based accounting.
  • Knowledge of lien waivers, subcontractor compliance, and contract billing.
  • Payroll certification or related accounting certifications are a plus.
