BILLING ANALYST

Schedule: Monday–Friday, 8:30 AM–5:30 PM

Position Summary

The Billing Analyst is responsible for supporting the company’s billing and invoicing operations. This position maintains accurate and up-to-date billing information, reviews invoices and receiving documentation, resolves billing discrepancies, and prepares financial and billing reports for management.

The Billing Analyst will work closely with the Accounting team, warehouse, other departments, and customers to ensure billing accuracy, timely invoicing, and proper account maintenance.

 

Essential Responsibilities

  • Analyze billing procedures and identify opportunities for improvement.
  • Manage billing for various customer accounts across company warehouse operations.
  • Verify with warehouse and other departments that orders have been fulfilled before invoicing.
  • Review and adjust invoices and statements as needed.
  • Review invoices and receiving documents to ensure billing accuracy.
  • Collaborate with other departments to resolve billing discrepancies.
  • Investigate and resolve errors related to customer billing, accounts, and billing reports.
  • Communicate with customers and internal departments to clarify and resolve billing issues.
  • Ensure customer billing accounts are set up correctly according to their requirements.
  • Maintain accurate billing records and update company databases as needed.
  • Prepare reports and meet established billing deadlines.
  • Respond to customer complaints and assist with billing-related concerns.
  • Follow company billing procedures, policies, and compliance requirements.
  • Follow guidelines and activities related to the QMS (ISO 9001) and CTPAT programs.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or GED required.
  • Some college preferred.
  • 1–2 years of experience in administration, accounting, billing, or a related area.
  • College diploma or bachelor’s degree in Accounting, Finance, or a related field is preferred.
  • Bilingual in English and Spanish required.
