CAM Administrative Assistant

We are seeking a dependable and organized CAM Administrative Assistant to support a Community Association Management team with the day-to-day administrative needs of a 500+ residential community. The ideal candidate will have excellent communication and organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

 

Responsibilities

  • Provide administrative support to Community Association Managers and the management team
  • Assist with day-to-day communication with homeowners, residents, vendors, and board members
  • Answer phone calls, respond to emails, and direct inquiries to the appropriate team member
  • Prepare, organize, and maintain community records, documents, and correspondence
  • Assist with preparing meeting notices, agendas, packets, minutes, and other board meeting materials
  • Schedule meetings, inspections, appointments, and vendor services
  • Maintain calendars and follow up on important deadlines and action items
  • Enter and update information in association management software and databases
  • Assist with processing work orders, service requests, violations, and homeowner correspondence
  • Communicate with vendors regarding scheduling, documentation, and service needs
  • Assist with obtaining bids, proposals, certificates of insurance, and other vendor documentation
  • Prepare and distribute community notices, newsletters, and other resident communications
  • Assist with processing invoices, purchase orders, and other administrative paperwork
  • Maintain organized electronic and physical filing systems
  • Provide general office and administrative support as needed

 

Qualifications

  • Previous administrative, office, property management, or community association experience preferred
  • Experience working with HOAs, condominiums, or community associations is a plus
  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask and prioritize competing deadlines
  • Professional and friendly customer service skills
  • Proficient with Microsoft Office, including Outlook, Word, and Excel
  • Comfortable learning and using property/community management software
  • Ability to work independently while also supporting a team
  • Professional appearance and positive attitude

 

Ideal Candidate

The ideal candidate is organized, dependable, professional, and customer-service oriented. They should be comfortable communicating with homeowners, board members, vendors, and coworkers while keeping track of multiple communities, deadlines, and administrative responsibilities.

 

Previous CAM or HOA experience is preferred, but candidates with strong administrative and customer service experience are encouraged to apply.
