Position Summary
The Administrative & Customer Service Specialist serves as a primary point of contact for patrons and plays a key role in supporting daily office operations. This position requires an organized, dependable, and positive individual who enjoys interacting with people and can remain calm and professional in challenging situations.
Customer service is an important aspect of this role. Patrons may occasionally be frustrated, emotional, or facing difficult circumstances, and the successful candidate will be able to navigate these interactions with patience, empathy, professionalism, and sound judgment.
This position also requires a willingness to learn. Water rights can be a complex subject, and there is a learning curve when first starting the job. We are looking for someone who is curious, motivated, and eager to develop a strong understanding of water rights so they can confidently assist patrons and become a knowledgeable and trusted resource.
Key Responsibilities
- Deliver exceptional customer service in person, by phone, and through email.
- Assist patrons with inquiries, applications, records requests, and account-related questions.
- Respond to challenging customer interactions with professionalism, patience, and empathy.
- Perform accurate data entry and maintain electronic and physical records.
- Process administrative paperwork, correspondence, and documentation.
- Support daily office operations, scheduling, filing, and customer communications.
- Maintain confidentiality and handle sensitive information appropriately.
- Learn and apply water rights policies, procedures, and regulations.
- Serve as a knowledgeable resource by helping patrons understand and manage their water rights.
- Collaborate with team members to ensure efficient and effective service to patrons.

Experience Required
- Minimum of 2 years of customer service, administrative support, office administration, or related experience preferred.
- Experience working directly with the public and handling customer inquiries in a professional manner.
- Experience managing multiple priorities in a fast-paced office environment.
- Experience with data entry, recordkeeping, and general administrative functions.
- Experience using Microsoft Office Suite, including Word, Excel, and Outlook.
Preferred Experience
- Experience in a government, utility, water resources, or public service environment.
- Experience handling difficult or sensitive customer interactions.
- Experience maintaining confidential records and information.
Education Required
- High school diploma or GED required.
- Additional coursework, certifications, or training in business administration, office administration, customer service, communications, or a related field is preferred.
- Associate degree in Business, Public Administration, Communications, or a related field is a plus but not required.
