We are seeking an experienced Administrative Shipping Clerk to join our warehouse and logistics team. The ideal candidate will have strong administrative and communication skills, previous experience working in a warehouse or shipping environment, and hands-on experience with Transportation Management Systems (TMS).
This position will be responsible for coordinating shipping documentation, entering and maintaining shipment information, preparing Bills of Lading (BOLs), assisting with Accounts Payable (AP) and Accounts Receivable (AR) activities, and communicating with customers, carriers, drivers, and internal warehouse teams.

Schedule: [Monday–Friday 8am - 5pm
Pay: $19/hour - $22/hour (based on experience)
Key Responsibilities
- Coordinate daily shipping and receiving administrative activities in a warehouse environment.
- Enter, update, and track shipments using a TMS (Transportation Management System).
- Prepare, verify, and process Bills of Lading (BOLs) and other shipping documentation.
- Schedule and coordinate carrier pickups and deliveries.
- Communicate with carriers, drivers, customers, and vendors by phone and email.
- Respond to shipping inquiries and provide timely updates on shipment status.
- Verify shipment information, quantities, freight details, and delivery documentation.
- Assist with Accounts Payable (AP) by reviewing freight invoices, matching invoices to shipments, and resolving discrepancies.
- Assist with Accounts Receivable (AR) by processing billing information and maintaining accurate records.
- Enter data accurately into company systems and maintain organized electronic and paper files.
- Work closely with warehouse personnel to ensure orders are shipped accurately and on schedule.
- Investigate and resolve shipping, delivery, documentation, and billing discrepancies.
- Maintain accurate records of shipments, freight costs, invoices, and supporting documents.
- Follow company procedures for shipping, receiving, safety, and documentation.
- Perform other administrative and warehouse support duties as required.
Qualifications
- 2+ years of administrative shipping, logistics, transportation, or warehouse experience preferred.
- Previous experience working with a TMS system is required.
- Experience preparing and processing BOLs and shipping documents.
- Working knowledge of AP and AR processes.
- Strong computer and data-entry skills.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Excellent written and verbal communication skills.
- Professional and confident when communicating by phone and email.
- Strong attention to detail and organizational skills.
- Ability to multitask and prioritize work in a fast-paced warehouse environment.
- Ability to work independently while also supporting warehouse and office teams.
- Experience with freight carriers, transportation scheduling, or logistics is an asset.
Preferred Skills
- Experience with freight, LTL, FTL, or transportation logistics.
- Familiarity with warehouse management systems (WMS).
- Experience handling freight invoices and shipment billing.
- Knowledge of transportation documentation and carrier requirements.
- Strong problem-solving and discrepancy-resolution skills.
- Ability to work effectively under time-sensitive shipping deadlines.
