he Maintenance Dispatcher is responsible for coordinating maintenance service requests, scheduling technicians, monitoring work order progress, and ensuring timely communication between customers, field personnel, and management. This role serves as the central point of contact for maintenance operations, helping to maximize efficiency, response times, and customer satisfaction.

Key Responsibilities

  • Receive, prioritize, and dispatch maintenance service requests and work orders.
  • Schedule and assign maintenance technicians based on skill level, location, workload, and urgency.
  • Monitor technician schedules and adjust assignments as needed to address emergencies or changing priorities.
  • Maintain accurate records of work orders, service requests, technician assignments, and completion status.
  • Communicate with customers, tenants, vendors, and internal teams regarding service schedules and updates.
  • Track service level agreements (SLAs) and ensure timely response and completion of maintenance requests.
  • Coordinate emergency maintenance calls and after-hours service requests.
  • Verify that technicians have the necessary information, parts, and equipment to complete assigned work.
  • Follow up on open work orders and ensure proper documentation upon completion.
  • Generate and distribute reports on maintenance activities, response times, and productivity metrics.
  • Support inventory, purchasing, and vendor coordination activities as needed.
  • Maintain compliance with company policies, safety procedures, and operational standards.

Qualifications

Education & Experience

  • High school diploma or GED required.
  • Associate degree in Business Administration, Facilities Management, or a related field preferred.
  • 2+ years of dispatching, scheduling, customer service, maintenance coordination, or related experience preferred.
  • Experience with CMMS (Computerized Maintenance Management Systems) or work order management software is a plus.

Knowledge, Skills & Abilities

  • Strong organizational and multitasking skills.
  • Excellent communication and customer service abilities.
  • Ability to prioritize multiple requests in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Excel, and Teams.
  • Experience using dispatching, scheduling, or maintenance management software.
  • Ability to analyze schedules and optimize resource allocation.
  • Strong attention to detail and problem-solving skills.
  • Ability to remain calm and effective during emergency situations.
  • Property Meld knowledge a plus

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Frequent use of telephone, keyboard, and computer systems.
  • Occasional lifting of office materials up to 20 pounds.

Work Environment

  • Office-based environment with regular interaction with maintenance technicians, customers, vendors, and management.
  • May require occasional after-hours availability to coordinate emergency maintenance services.
