POSITION SUMMARY: 

The Benefits & Recruiting Assistant provides administrative support to the Human Resources department by assisting with day-to-day benefits administration and recruitment activities.   The role would require talking with candidates, scheduling interviews, keeping employee files organized, and assisting employees with their benefit enrollment or questions.  You’ll also be one of the first points of contact for applicants and staff, so being helpful, professional, and respectful of confidential information is very important.  

 

POSITION EDUCATION/QUALIFICATIONS: 

  • Associate degree in human resources/organizational leadership or business-related field 
  • Minimum of two (2) years of relevant work experience in HR, benefits, recruiting or administrative experience may be substituted   
  • Excellent customer service skills 
  • Excellent verbal and written communication required 
  • Excellent organizational skills and attention to detail 
  • Working understanding of human resource principles, practices, and procedures 
  • Must be able to multi-task, and work with minimal supervision 
  • Must be bilingual; English/Spanish; read, speak and write fluently 

 

JOB KNOWLEDGE/EXPERIENCE: 

 

Benefits Knowledge 

  • Basic understanding of health, dental, vision, life, and voluntary benefit plans. 
  • Ability to assist employees with benefit enrollment, changes, and general questions. 
  • Familiarity with open enrollment processes and benefit eligibility rules. 
  • Understanding of confidentiality requirements when handling employee benefit information. 
  • Ability to maintain accurate benefit records and support monthly audits. 

 

Recruiting Knowledge 

  • Understanding of basic recruiting workflows (posting jobs, screening applicants, scheduling interviews). 
  • Ability to communicate professionally with candidates and hiring managers. 
  • Knowledge of interview coordination, candidate follow-up, and onboarding steps. 
  • Ability to review resumes for minimum qualifications and route candidates appropriately. 

 

HR Administrative Skills 

  • Strong attention to detail when maintaining employee files and HR records. 
  • Ability to handle sensitive information with discretion and professionalism. 
  • Basic understanding of employment laws related to confidentiality, hiring, and benefits. 
  • Experience with data entry, document preparation, and tracking HR metrics. 
  • Ability to support new hire onboarding, including paperwork, I-9 verification, and orientation scheduling. 

 

Communication & Customer Service 

  • Ability to provide clear, friendly, and professional support to employees and applicants. 
  • Comfortable speaking with employees and candidates, answering questions, resolving minor issues, and escalating concerns when needed. 
  • Strong written and verbal communication skills for emails, announcements, and candidate messaging. 

 

General Office & Technology Skills 

  • Proficiency with Microsoft Office (Word, Excel, Outlook) or similar tools. 
  • Ability to learn HR systems, benefits platforms, and create recruiting contacts. 
  • Strong organizational skills for managing multiple tasks and deadlines. 

 

POSITION RESPONSIBILITIES: 

  • Performs customer service functions by answering employee requests and questions. 
  • Assist employees with monthly benefit enrollment and monthly invoice reconciliations. 
  • Maintain benefit records and update information in HR systems. 
  • Support open enrollment tasks and benefit communications. 
  • Handles the full process for leave of absence requests, including FMLA, Intermittent leave, and benefit claim processing.  
  • Post job openings and help screen applications for minimum qualifications. 
  • Schedule interviews and coordinate candidate communication for all locations 
  • Responsible for filing documents into appropriate employee files.            
  • Resolves first-level employee complaints, referring difficult or very complex complaints to the Human Resources Manager.                                
  • Acts as liaison between employees and fosters effective relationships with management.      
  • Provide friendly, professional support for employees and applicants. 
  • Handle confidential information appropriately. 
  • Support general HR administrative tasks and projects. 
  • Serves as a back up to the receptionist for all phone calls and walk-in traffic.  
  • Other duties and special projects as assigned.
