Document Scanning & File Management Specialist (Temporary)

Position Summary
Deschutes County is seeking two temporary employees to assist with a personnel records digitization project. This project involves converting paper personnel files into electronic records while maintaining organization, accuracy, and confidentiality. One associate will focus on scanning documents and preparing completed files for storage, while the other will focus on electronic file creation, organization, and document management. Qualified associates may have the opportunity to assist with both functions throughout the project.
Key Responsibilities
- Scan and digitize personnel files while ensuring document quality and accuracy.
- Create, organize, and maintain electronic folders, records, and file naming conventions.
- Sort, upload, and securely manage confidential documents within the electronic filing system.
Skills Required
- Good attention to detail
- Strong computer skills
- Working knowledge of Adobe Acrobat Pro
- Ability to create files and folders
- Ability to sort and place documents in the correct folder locations
- Ability to accurately rename electronic documents
- Ability to maintain organization and accuracy while handling personnel files
- Ability to follow established procedures and maintain confidentiality of records
Experience Required
- Experience working with electronic files and folders
- Experience sorting and organizing documents
- Experience accurately renaming and managing electronic records
- Experience using computer-based filing systems
- Working knowledge of Adobe Acrobat Pro
- Experience handling and organizing confidential documents preferred
Education Required
- High school diploma or equivalent preferred
- Ability to perform the duties of the position, including document scanning, file organization, and electronic records management

Physical Requirements
- Ability to sit, stand, and move throughout the workday
- Frequent use of a computer and scanning equipment
- Ability to read, review, and organize printed and electronic documents
- Ability to lift, carry, and move file boxes weighing up to 25 pounds
- Ability to bend, reach, stoop, and file documents as needed
- Ability to perform repetitive tasks while maintaining accuracy and attention to detail
