Job Full Description

Our client is seeking an organized and detail-oriented Administration & HR Coordinator to support day-to-day administrative, human resources, facility, and compliance functions. This role will be responsible for maintaining company records, policies, benefits administration, workplace health and safety programs, facility coordination, and general office operations.

Key Responsibilities

  • Maintain corporate records, registration documents, and contract files.
  • Develop, update, and document company policies and procedures.
  • Administer property and liability insurance programs and claims.
  • Maintain organizational charts and fleet records, including driver and forklift operator documentation.
  • Prepare and submit regulatory filings, corporate documentation, and compliance records.
  • Coordinate responses to Statistics Canada surveys and prepare internal reports.
  • Organize employee recognition programs, company events, catering, and workplace initiatives.
  • Purchase office, kitchen, and operational supplies.
  • Oversee facility maintenance, building systems, cleaning services, repairs, and asset management.
  • Coordinate maintenance and support for production equipment and machinery.
  • Manage security administration, document management systems, and IT asset tracking.
  • Support human resources activities including benefits administration, attendance management, and employee relations.
  • Maintain workplace health and safety programs, emergency preparedness plans, and fire prevention initiatives.
  • Administer WSIB claims and assist with employment standards and labour compliance requirements.
  • Maintain employee handbooks, workplace policies, and corporate governance documentation.
  • Provide backup support for payroll administration.

Job Experience

  • Previous experience in administration, human resources, office management, or a similar role.
  • Experience with employee benefits, health and safety programs, policy administration, and regulatory compliance.
  • Knowledge of employment legislation and WSIB processes.
  • Experience coordinating facilities, vendors, and workplace services.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency with Microsoft Office applications.
  • IT expertise is not required as dedicated IT support is available.

Job Education

  • CHRP designation or equivalent certification required.
  • Post-secondary education in Human Resources, Business Administration, or a related field preferred.
