Fleet Material Handler / Fleet Maintenance Coordinator

 

Position Summary

The Fleet Material Handler is responsible for supporting fleet operations through equipment inspections, preventive maintenance coordination, repair management, material handling, and fleet communications. This position plays a critical role in maintaining fleet readiness, safety, and compliance by coordinating repairs, managing DVIR communications, monitoring telematics alerts, supporting maintenance activities, receiving materials, and ensuring equipment is available for daily operations.

The ideal candidate is organized, safety-focused, mechanically inclined, and capable of working collaboratively with drivers, operations personnel, maintenance providers, and vendors.


Essential Duties and Responsibilities

Fleet Operations & Equipment Management

  • Conduct truck, trailer, and equipment inspections upon arrival.
  • Review Driver Vehicle Inspection Reports (DVIRs) and coordinate repair actions for reported defects.
  • Identify and communicate maintenance and repair requirements.
  • Assist in equipment setup, changeovers, and basic repair activities.
  • Coordinate preventive maintenance schedules and fleet service appointments.
  • Monitor Samsara alerts and communicate equipment issues to appropriate personnel.
  • Perform routine inspections, lubrication, cleaning, and minor maintenance activities.
  • Assist maintenance technicians with troubleshooting minor mechanical, electrical, and pneumatic issues.
  • Participate in preventive maintenance programs and equipment shutdown activities.
  • Maintain equipment records, work orders, and maintenance documentation.

Fleet Movement & Yard Operations

  • Safely move trucks, trailers, and pup trailers throughout company facilities.
  • Position equipment for loading, unloading, maintenance, inspections, and repairs.
  • Perform tractor swaps and equipment staging to support operational requirements.
  • Coordinate equipment availability with Operations and Logistics teams.

Vendor & Repair Coordination

  • Serve as a primary contact for maintenance vendors and repair facilities.
  • Coordinate repair appointments and monitor repair progress.
  • Obtain repair estimates and facilitate approval processes.
  • Communicate repair status and equipment availability updates to stakeholders.
  • Assist with after-hours breakdown communications and repair coordination.

Material Handling & Inventory Support

  • Safely operate forklifts, pallet jacks, and other material handling equipment.
  • Receive chemicals, maintenance materials, equipment parts, and related supplies.
  • Verify received materials against purchase orders and shipping documentation.
  • Organize and maintain parts, materials, and maintenance inventories.
  • Assist in maintaining inventory accuracy and storage organization.

Communication & Administrative Support

  • Manage communication related to DVIRs, repairs, PM schedules, and equipment availability.
  • Participate in daily fleet and operational meetings.
  • Communicate maintenance updates to drivers, operations personnel, and management.
  • Support driver policy communication and annual driver training requirements.
  • Enter maintenance data accurately and maintain fleet records in applicable systems.

Safety & Compliance

  • Follow all OSHA, DOT, environmental, and company safety policies and procedures.
  • Ensure compliance with lockout/tagout (LOTO) requirements and equipment operation standards.
  • Properly utilize required personal protective equipment (PPE).
  • Participate in safety meetings, toolbox talks, and safety audits.
  • Report unsafe conditions, incidents, and near misses immediately.
  • Complete HazMat training related to company products and materials.
  • Maintain familiarity with company driver policies and annual training requirements.
  • Support fleet compliance and regulatory requirements.

Housekeeping & Continuous Improvement

  • Maintain clean, organized, and safe work areas.
  • Support 5S, Lean, and continuous improvement initiatives.
  • Ensure tools, equipment, and materials are properly maintained and stored.

Qualifications

Required Skills & Abilities

  • Ability to safely operate forklifts, pallet jacks, and material-handling equipment.
  • Ability to safely move trucks, trailers, and pup trailers within company property.
  • Basic understanding of mechanical, electrical, hydraulic, and pneumatic systems.
  • Strong attention to detail, organization, and recordkeeping skills.
  • Ability to read and interpret work orders, maintenance instructions, diagrams, and safety procedures.
  • Computer proficiency with Microsoft Office and maintenance management systems.
  • Experience using or learning fleet telematics systems such as Samsara.
  • Strong verbal and written communication skills.
  • Ability to work effectively both independently and as part of a team.
  • Strong problem-solving and troubleshooting abilities.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications

  • Experience in fleet maintenance, transportation, logistics, equipment operations, or industrial maintenance.
  • Forklift certification or ability to obtain certification.
  • Experience with fleet management software, telematics systems, or maintenance tracking systems.
  • Knowledge of DOT compliance and vehicle inspection requirements.
  • Commercial driving experience or experience moving fleet equipment preferred.

Education & Experience

  • High School Diploma or GED required.
  • 2+ years of experience in fleet operations, equipment maintenance, logistics, transportation, warehouse operations, or a related field preferred.

Physical Requirements

  • Ability to stand, walk, bend, climb, and work around fleet equipment for extended periods.
  • Ability to work both indoors and outdoors in varying weather conditions.
  • Ability to lift and move up to 50 pounds.
  • Ability to safely access trucks, trailers, and equipment during inspections and maintenance activities.

Pay: $24-30/hr DOE

Hours: M-F 7a-5p
