JOB SUMMARY:
Responsible for maintaining accurate client records, processing DMV documentation, managing client transfers and program records, and providing administrative support to the DUI Program Director and program participants.

SUPERVISION RECEIVED:
Works under the general supervision of the DUI Program Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Enter and maintain accurate client records, including scheduling, enrollments, and reinstatements.

  • Calculate termination fees based on client attendance, missed activities, and program requirements.

  • Issue enrollment and completion certificates.

  • Process reinstatements, including determining applicable fees and required program activities.

  • Maintain accurate records and inventory of DMV forms, including Proof of Enrollment, Certificates of Completion, and Proof of Reinstatement. Order forms as needed and submit required monthly reports for voided forms.

  • Maintain transfer-in, transfer-out, and referral-out logs and provide required information to courts and other programs.

  • Provide backup support to the receptionist as needed.

  • Enter client payments and update the daily cash receipts journal in Excel.

  • Maintain and update the court tracking system.

  • Review client accounts for past-due balances and prepare correspondence as needed.

  • Assist clients by phone and in person with general DUI program questions and administrative needs.

  • Conduct internal audits of client records to ensure accuracy and compliance with program requirements.

  • Conduct UA testing in accordance with program procedures.

  • Maintain confidentiality and represent the organization in an ethical, professional, and courteous manner.

  • Perform other administrative duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent required.

  • Must have a minimum of one year of continuous sobriety.

  • Minimum of one year of clerical or administrative experience or equivalent training.

  • Bilingual English/Spanish skills preferred.

SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong data entry and computer skills.

  • Proficiency with Microsoft Office, particularly Excel.

  • Strong attention to detail and accuracy.

  • Excellent organizational and follow-up skills.

  • Ability to maintain confidentiality and handle sensitive information professionally.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Strong communication and customer service skills.

  • Ability to work independently while following established procedures.
