Organization:

The Administrative Assistant is a FLSA-Nonexempt role and is managed directly by the Plant Manager, and indirectly by the Executive Management. You are responsible for ensuring all required objectives are met daily and on a professional level.

 

Goals:

As an Administrative Assistant, you will ensure all assigned duties are well organized and completed in a timely manner as determined by management. As part of the team, you are responsible to learn, understand, represent and contribute to Company policies, procedures and philosophies, including completing all assigned trainings as required. We are a customer service-oriented business and strive to meet our customer’s needs in a safe and regulatory compliant manner; we need employees to think creatively and be able to be self-motivated  to accommodate requests and always be professional under any circumstance(s).

 

Essential Duties and Responsibilities:

Includes the following essential job functions, but not limited to -

 

  • Greets and screens incoming visitors in a professional manner and promptly notifies appropriate personnel of their arrival.
  • Performs all data entries and computer functions related to customer orders, purchase orders, production work orders, and Bill of Lading Procedures.
  • Assist QC Lab with Data Entry and other administrative functions as necessary.
  • Conduct and Document Monthly Cycle Counts of all COI’s on site.
  • Work with Manufacturing to help locate raw materials that may be missing.
  • Request purchase orders of raw materials for production.
  • Conduct routine inventory cycle counts. Update and record inventory changes as necessary.
  • Assist warehouse with proper labeling of containers as necessary.
  • Maintains guest sign-in log.
  • Obtains Rules of Operation acknowledgments for applicable visitors, vendors and outside Sales Reps.
  • Opens and distributes incoming mail on a daily basis and prepares outgoing mail.
  • Receives and signs for packages and delivers to the appropriate person promptly.
  • Operates standard office equipment, including computer with printer, photocopy machine, calculator, scanner, facsimile machine and multi-line telephone.
  • Maintains an adequate office supply inventory and requisitions additional items as needed.
  • Contacts appropriate company for necessary preventive maintenance and service on office equipment and maintains related files.
  • Directs callers to appropriate person or voicemail.
  • Takes messages as necessary.
  • Scans documents into appropriate company repository on a daily basis.
  • Files all documents in their appropriate file.
  • Creates new files as necessary
  • Archives old files as necessary
  • Maintains reception area cleanliness.
  • Performs other duties as assigned.
