Job Description
We are seeking a Core Returns & Customer Service Representative to join our team. This position will be responsible for managing customer core returns from start to finish while providing excellent customer service and supporting daily administrative operations.
The ideal candidate is organized, detail-oriented, professional, and comfortable communicating with customers through phone, email, and chat. This person will work closely with customers and internal departments, including warehouse, shipping, and accounting, to ensure returns are processed accurately and in a timely manner.
Automotive or auto parts experience is highly preferred but not required. We are willing to train the right candidate who demonstrates strong customer service, communication, organizational, and problem-solving skills.
Responsibilities
- Process, document, and track customer core returns accurately and efficiently.
- Communicate with customers regarding return status, discrepancies, credits, and required documentation.
- Review returned products and information to ensure returns meet company requirements.
- Coordinate with warehouse and shipping teams to track incoming and outgoing returns.
- Work with accounting to ensure customer credits are processed accurately and in a timely manner.
- Maintain organized and accurate records of returned products, customer credits, and communications.
- Respond to customer questions and requests by phone, email, and chat in a professional and timely manner.
- Assist customers with orders, product information, shipping updates, and general questions.
- Investigate customer concerns and work toward effective resolutions.
- Follow up with customers and internal departments to ensure outstanding issues are resolved.
- Identify discrepancies or recurring issues with returned products and bring them to management's attention.
- Monitor return activity and help identify trends that may require corrective action.
- Maintain a high level of professionalism and customer service during all interactions.
- Assist with general administrative duties and other operational tasks as needed.
- Work collaboratively with other departments to help maintain an efficient workflow.
Qualifications
- Previous customer service, administrative, returns, or order processing experience preferred.
- Automotive or auto parts experience is a plus, but not required.
- Strong verbal and written communication skills.
- Excellent attention to detail and organizational skills.
- Ability to accurately maintain records and process information.
- Strong problem-solving and follow-up skills.
- Comfortable communicating with customers by phone, email, and chat.
- Ability to multitask and prioritize work in a fast-paced environment.
- Basic computer skills and ability to learn new software and systems.
- Professional, dependable, and team-oriented attitude.
- Ability to work independently while also collaborating effectively with multiple departments.
Ideal Candidate
The ideal candidate is someone who enjoys helping customers, solving problems, and keeping things organized. You should be comfortable following up on issues, communicating with multiple departments, and making sure details don't fall through the cracks. Someone with automotive knowledge would be a great fit, but industry experience is not necessary for the right candidate.
