Office Assistant - Sports Program Coordinator

Full-Time | Evaluation-to-Hire Opportunity

 

Position Overview

We are seeking a highly organized, detail-oriented, and customer-focused Office Assistant - Sports Program Coordinator to support the daily operations of a youth sports organization. This role is responsible for coordinating administrative activities, processing permits and approvals, maintaining accurate records, and serving as a key point of communication for parents, coaches, instructors, and other stakeholders.

 

The ideal candidate is proactive, resourceful, and able to manage multiple priorities while providing excellent customer service in a fast-paced environment.

 

Essential Duties & Responsibilities

  • Process and manage facility permits and related documentation.
  • Communicate with parents, clinicians, instructors, and volunteer coaches regarding program schedules and operations.
  • Provide regular status updates and reports to management.
  • Process school district and private school flyer approval requests.
  • Maintain accurate and up-to-date program site information.
  • Create reports and administrative documents using Microsoft Word and Excel.
  • Assemble mailings and prepare supplies, equipment, and materials for program locations.
  • Perform data entry and maintain organized records.
  • Assist with general administrative and office support duties.
  • Complete additional tasks and projects as assigned.

 

Required Skills & Experience:

  • Excellent written and verbal communication skills.
  • Strong customer service and telephone skills.
  • Proficiency in Microsoft Word, Excel, and general office software.
  • Typing speed of 40+ WPM with accurate data entry skills.
  • Strong organizational and time management skills.
  • Ability to multitask and meet deadlines in a fast-paced environment.
  • Exceptional attention to detail and accuracy.
  • Positive attitude, professionalism, and self-motivation.
  • Ability to lift up to 25 pounds unassisted and up to 50 pounds with assistance.

 

Preferred Qualifications:

  • Bilingual skills are a plus.
  • Experience in youth sports, recreation, athletics, camps, or community programs is preferred.
  • Volleyball knowledge or experience is a strong plus.
