Location: Phoenix, AZ
Schedule: Monday - Friday, 7:00 AM - 4:00 PM
Pay: $25.00 - $28.00 per hour, depending on experience

Position Overview

Our client is seeking a professional, detail-oriented, and highly organized Travel Administrative Assistant to support daily business operations and coordinate domestic and international travel arrangements for employees and leadership. This position plays a critical role in ensuring efficient administrative support while managing travel logistics, documentation, scheduling, and communication across multiple departments.

The ideal candidate will have strong administrative experience, proven experience booking and coordinating international travel, and prior experience working within a manufacturing environment. The ability to manage multiple priorities, maintain confidentiality, and provide exceptional organizational support is essential for success in this role.

Key Responsibilities

Travel Coordination

  • Coordinate and book domestic and international business travel, including flights, hotels, ground transportation, and related travel accommodations.
  • Prepare detailed travel itineraries and ensure all travel arrangements are accurate and communicated effectively.
  • Monitor travel schedules and assist with changes, cancellations, and travel-related issues as they arise.
  • Maintain travel records and documentation for employees and management.
  • Work with travel vendors and service providers to secure cost-effective travel arrangements.

Administrative Support

  • Provide administrative support to management and various departments throughout the organization.
  • Manage calendars, schedule meetings, and coordinate appointments and conference calls.
  • Prepare, edit, and distribute correspondence, reports, presentations, and other business documents.
  • Maintain organized electronic and physical filing systems.
  • Assist with data entry, recordkeeping, and document management.
  • Handle incoming phone calls, emails, and visitor inquiries professionally and efficiently.
  • Support office operations by ordering supplies and coordinating administrative resources as needed.

Departmental Coordination

  • Collaborate with production, engineering, purchasing, accounting, and management teams to support business operations.
  • Assist with vendor communication and follow-up activities.
  • Support project coordination and administrative tracking for various departments.
  • Help ensure administrative processes are completed accurately and within established timelines.
  • Participate in special projects and provide additional administrative support as assigned.

Qualifications

  • Minimum of 3 years of administrative support experience in a professional office environment.
  • Demonstrated experience coordinating and managing international travel arrangements.
  • Previous experience working for a manufacturing, industrial, or production-based company.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational, planning, and time-management skills.
  • Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • High level of professionalism and discretion when handling confidential information.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently while also supporting a team environment.

Preferred Qualifications

  • Experience supporting executives, managers, or multiple departments.
  • Experience working with travel vendors, corporate travel platforms, or travel management systems.
  • Familiarity with manufacturing operations, purchasing processes, or production environments.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
