Position Summary

The OT Administrative Coordinator is responsible for supporting daily workforce and payroll-related administrative functions, with a primary focus on overtime coordination, timekeeping accuracy, attendance tracking, and communication with employees and supervisors. This position requires strong attention to detail, excellent communication skills, and the ability to proactively identify and address attendance concerns.

The ideal candidate is organized, dependable, comfortable working in a fast-paced environment, and able to communicate professionally with both employees and supervisors.

Key Responsibilities

  • Review and correct employee time punches and timekeeping discrepancies.
  • Monitor attendance and proactively alert supervisors to attendance concerns or patterns that may require coaching.
  • Contact employees to fill overtime needs and coordinate overtime assignments.
  • Communicate with employees and supervisors regarding schedules, overtime, attendance, and timekeeping issues.
  • Maintain accurate and timely administrative and payroll-related records.
  • Follow up on missed punches, attendance issues, and scheduling changes.
  • Assist supervisors with identifying staffing and overtime needs.
  • Ensure information is communicated accurately between employees, supervisors, and management.
  • Handle sensitive employee and payroll information with professionalism and confidentiality.
  • Utilize Microsoft Office, including Excel, for tracking, reporting, and administrative tasks.
  • Perform additional administrative duties as needed to support daily operations.

Qualifications

Required:

  • Minimum of 1 year of administrative or payroll experience.
  • Proficiency in Microsoft Office, including Excel.
  • Typing speed of at least 40 words per minute.
  • Proven ability to communicate professionally with employees, supervisors, and management.
  • Strong attention to detail and organizational skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently and make sound decisions within established guidelines.
  • Willingness and ability to work mandatory overtime when needed.
