Training Operations Coordinator

We're looking for a highly organized, detail-oriented professional to join our team as a Training Operations Coordinator. This role is ideal for someone who enjoys managing multiple moving pieces, communicating with a variety of people, learning new systems, and making sure every detail is completed accurately.
You'll serve as the central point of coordination between customers, instructors, students, training platforms, certification records, and billing activities. Success in this position requires exceptional follow-through, strong communication skills, and the ability to confidently manage multiple priorities at the same time.

What You'll Do
Coordinate Training Operations
- Schedule training courses and coordinate class logistics.
- Assign online training modules and manage participant enrollment.
- Dispatch qualified instructors to training locations.
- Prepare training materials, equipment, and course supplies.
- Ensure training sessions are fully organized and ready to go before the scheduled date.
- Support instructors with scheduling updates, documentation, and training resources.
Manage Customer & Training Records
- Communicate professionally with customers, instructors, and students by phone and email.
- Verify participant information and training requirements.
- Review training documentation for accuracy and completeness.
- Issue certification cards and training credentials.
- Maintain accurate electronic and physical training records.
- Resolve scheduling conflicts and administrative issues efficiently.
- Follow up on missing information and incomplete documentation.
Billing & Customer Follow-Up
- Prepare invoices for completed training services.
- Ensure training records accurately match services provided.
- Track training completions and recertification dates.
- Contact customers who are due for recertification and assist with scheduling future training.
- Support customer retention by maintaining regular communication and exceptional service.
Inventory & Administrative Support
- Prepare equipment and supplies for instructor pickup.
- Maintain training equipment readiness and organization.
- Track, order, and replenish training materials and supplies.
- Manage inventory of books, certification cards, online training modules, and classroom consumables.
- Assist with office operations and ongoing process improvement initiatives.
Marketing & Outreach
- Promote public training classes through social media platforms.
- Respond to inquiries regarding upcoming classes and training opportunities.
- Help increase awareness of training programs within the community.

Preferred Qualifications
While not required, experience in any of the following areas is helpful:
- CPR, First Aid, or safety training programs.
- Healthcare or certification-based training environments.
- Learning Management Systems (LMS).
- Scheduling and dispatching.
- Administrative or office operations.
- Customer service and client relationship management.
- Billing, invoicing, or record management.
