Our client is a well-established and growing organization seeking an experienced Office Assistant / Administrative Coordinator to support daily office operations. Duties & Responsibilities
- Perform high-volume data entry and document preparation with a strong emphasis on accuracy and attention to detail
- Maintain organized records, files, databases, and administrative documentation
- Coordinate inbound and outbound shipping activities, including carrier scheduling, shipment tracking, and delivery follow-up
- Work with shipping providers such as FedEx, UPS, and freight carriers
- Greet, check in, and professionally assist guests, vendors, customers, and business partners
- Answer and direct incoming phone calls and general inquiries
- Maintain clean, organized, and professional office and common areas
- Support office operations through a variety of administrative tasks and special projects
- Manage multiple priorities simultaneously while meeting deadlines and maintaining accuracy
- Monitor office supply inventory and assist with purchasing and ordering needs
- Handle sensitive company and customer information with the highest level of confidentiality
- Provide professional written and verbal communication internally and externally
Knowledge, Skills & Abilities
- 5+ years of administrative, office support, receptionist, office coordinator, or related experience preferred
- Advanced typing skills with a demonstrated record of speed and accuracy
- Strong data entry experience in a professional office environment
- Experience coordinating shipping, logistics, and carrier communications
- Advanced proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams
- Excellent organizational and multitasking abilities
- Ability to effectively prioritize work in a high-volume environment with competing demands
- Strong attention to detail and commitment to producing accurate work
- Professional verbal and written communication skills
- Ability to work independently with minimal supervision
- Proven ability to exercise discretion and maintain confidentiality
- Professional appearance and business-professional demeanor required
- Experience supporting organizations with regulated, confidential, or government-related operations highly preferred
- U.S. Citizenship required
Compensation
$25.00 - $27.00 per hour DOE
Highly qualified candidates with extensive administrative, logistics, and office coordination experience may be considered at the upper end of the pay range.
Schedule
- 30-40 hours per week
- Monday-Friday 8:30 AM to 3:30 PM, with some flexibility
