Accounting, Purchasing & Account Management Specialist

Position Summary

The Accounting, Purchasing & Account Management Specialist is responsible for supporting the organization's financial operations, procurement activities, and customer account relationships. This role serves as a key liaison between customers, vendors, and internal teams to ensure accurate financial transactions, timely purchasing processes, exceptional customer service, and effective account management. The ideal candidate possesses strong analytical skills, attention to detail, and the ability to build and maintain positive business relationships.

Essential Duties and Responsibilities

Accounting & Finance

  • Process accounts payable and accounts receivable transactions.
  • Prepare and maintain accurate financial records and documentation.
  • Reconcile bank statements, vendor accounts, and customer accounts.
  • Assist with monthly, quarterly, and annual financial reporting activities.
  • Monitor outstanding invoices and coordinate collection efforts as needed.
  • Support budgeting, expense tracking, and cost analysis initiatives.
  • Ensure compliance with company policies and accounting standards.

Purchasing & Procurement

  • Manage purchasing activities, including vendor selection, purchase orders, and order tracking.
  • Maintain inventory levels and coordinate replenishment of supplies and materials.
  • Negotiate pricing, terms, and delivery schedules with vendors.
  • Build and maintain strong supplier relationships.
  • Evaluate vendor performance to ensure quality, cost, and service expectations are met.
  • Review and approve purchasing documentation for accuracy and completeness.
  • Collaborate with internal stakeholders to forecast purchasing needs.

Account Management

  • Serve as the primary point of contact for assigned customer accounts.
  • Develop and maintain strong client relationships to support long-term business growth.
  • Respond to customer inquiries, resolve issues, and provide timely updates.
  • Coordinate with internal departments to ensure customer expectations are met.
  • Monitor account performance, customer satisfaction, and retention metrics.
  • Prepare customer reports, account reviews, and business updates.
  • Identify opportunities for additional products, services, or process improvements.
  • Support onboarding of new customers and ongoing account maintenance.

Qualifications

Education

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, Supply Chain Management, or a related field preferred.

Experience

  • 3+ years of experience in accounting, purchasing, procurement, account management, or a related business function.
  • Experience working with ERP, accounting, or procurement systems preferred.
  • Customer-facing account management experience strongly preferred.

Knowledge, Skills, and Abilities

  • Strong understanding of accounting principles and purchasing processes.
  • Excellent customer service and relationship management skills.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Experience with accounting software and ERP systems.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple priorities and meet deadlines.
  • High attention to detail and accuracy.
  • Strong problem-solving and analytical skills.
