Job Title: Administrative Assistant

 

Job Summary
The Administrative Assistant provides comprehensive administrative and clerical support. This role is responsible for ensuring the efficient day-to-day operation of the office by coordinating communications, maintaining records, scheduling appointments, and supporting providers, clients, and management. The ideal candidate is highly organized, detail-oriented, and committed to maintaining confidentiality while delivering excellent customer service.

 

Key Responsibilities

  • Provide administrative support to the team and management.
  • Answer and direct incoming phone calls, emails, and other correspondence in a professional and courteous manner.
  • Schedule appointments, meetings, and maintain calendars for staff and providers.
  • Prepare, edit, and distribute reports, letters, forms, and other business documents.
  • Maintain accurate and confidential client, provider, and administrative records.
  • Enter, update, and manage data in electronic databases and case management systems.
  • Process invoices, reimbursement requests, and other administrative paperwork.
  • Coordinate communication between providers, clients, and external agencies.
  • Assist with compliance documentation, audits, and regulatory reporting requirements.
  • Order and maintain office supplies and equipment inventory.
  • Organize and maintain filing systems, both electronic and paper.
  • Support special projects and perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; Associate's degree preferred.
  • Minimum of 1–2 years of administrative or office support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational, time management, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
