Level I
§ Maintain client database in fuel tax program.
§ Ensure client reporting deadlines are met by monitoring the processing of client data.
§ Maintain Client Processing Notes.
§ Assist Client Service in completing Compliance Analysis Reports for their clients as needed.
§ Perform quality checks on all data prior to it being sent to the client, researching potential issues and providing feedback to Supervisor and Client Service as required.
§ Forward reports to clients on a monthly basis for their review.
§ Assist Client Service Representatives in researching client questions regarding fuel tax data.
§ Assist with responding to client email/verbal communication as necessary.
§ Review and work rejected trips and fuel, notifying client & CSR of any transactions you are unable to work so that corrections can be submitted.
§ Assist CSR to resolve any technical issues and problems as they arise.
§ Work on special projects as required.
§ Maintains a secure environment by ensuring that all Physical Security policies are observed for their workspace.
§ Ensure that the all guidelines of the Data Classification policy are followed when handling documents and files.
§ Other duties as required.
Level II
§ Process data files, review data rejected and work with Electronic Data Coordinator to obtain information needed to allow processing of rejected data for both Fuel Tax and Driver Log Audit Departments.
§ Provide steady feedback to specialists regarding proactive ways to increase vehicle and company compliance to reduce their risk in the event of an audit.
§ A full understanding of Fuel Tax Admin, Quick Entry, Client Portal, Importer and Microsoft Office.
§ Update and maintain Processing Notes relating to each assigned client.
§ Assist with updating users in the database.
§ Assist with new employee training.
Level III
§ A working knowledge of regulations regarding IFTA/IRP Regulations.
§ Conduct testing on enhancements on Fuel Tax programs in conjunction with the Supervisor and the IT Department.
§ Perform Fuel Tax transitions by completing the following tasks:
- Attend transition meeting with Account Manager.
- Assist with assigning new account to Fuel Tax Tech/Specialist with the assistance of the Supervisor.
- Provide feedback to Client Service and Supervisor regarding workable and attainable completion date for data.
- Initially update Processing Notes and report any special client specific procedures to the Fuel Tax Techs/Specialist.
§ Perform training of new Fuel Tax and QA Technicians.
§ Assist with the final review and mailing of taxes as required.
§ Assist with the management of IRP and fuel/mileage tax audits as required.
§ Assist with Technician and Specialist duties in other departments as required.
§ Assist in development, updating and implementation of department procedures.
§ Assist with supervisory duties as necessary.
