We are seeking a detail-oriented and highly organized Accounting Assistant II to support a variety of accounting, bookkeeping, financial recordkeeping, and customer service functions. This position plays an important role in maintaining accurate financial records, processing transactions, preparing reports, and assisting internal and external customers. The ideal candidate will possess strong accounting knowledge, excellent attention to detail, and the ability to work effectively in a fast-paced environment while managing multiple priorities.

 

Position Summary

The Accounting Assistant II performs a wide range of accounting support duties including accounts payable and receivable processing, financial record maintenance, report preparation, inventory tracking, account reconciliation, and customer service. This classification is distinguished from the Accounting Assistant III by the latter's responsibility for more advanced full-charge bookkeeping and accounting support functions.

 

Accounting and Financial Processing

  • Maintain accounts by coding, processing, and posting accounts payable, accounts receivable, and purchase orders.
  • Process documentation, invoices, statements, and financial transactions accurately and timely.
  • Prepare, balance, and reconcile reports against actual income and expenditures.
  • Follow up on delinquent accounts in accordance with applicable laws and established procedures.
  • Audit financial records for accuracy and completeness.
  • Post and reconcile journals, registers, logs, and other accounting records.

Inventory and Record Management

  • Maintain inventory records and tracking systems.
  • Process inventory forms and documentation.
  • Edit and reconcile monthly inventory reports.
  • Ensure accuracy of inventory-related financial records.

Reporting and Data Analysis

  • Calculate, verify, classify, and post financial and statistical data from various sources.
  • Analyze information to identify variances and trends.
  • Compile, tabulate, and summarize data for reports and operational needs.
  • Verify completed reports against source documents and established accounting procedures.
  • Prepare statistical reports, summaries, and financial information as required.

 

Customer Service and Administrative Support

  • Respond to inquiries from departments, agencies, and the public regarding assigned accounting functions.
  • Provide information and assistance or refer inquiries as appropriate.
  • Prepare, edit, and type correspondence, reports, and other documents.
  • Provide clerical and reception support as needed, including:
    • Greeting visitors
    • Answering phones
    • Scheduling meetings
    • Word processing and document preparation

 

Qualifications Knowledge of

  • Bookkeeping principles and practices.
  • Governmental accounting and auditing practices a plus!
  • General office procedures and equipment.
  • Business English, grammar, spelling, and punctuation.
  • Records management and filing systems, both electronic and paper-based.
  • Applicable city, state, local, and federal regulations, policies, and procedures.

 

Skills and Abilities

  • Strong proficiency with accounting software, spreadsheets, database systems, and word processing applications.
  • Application of bookkeeping and accounting principles to financial recordkeeping and reporting.
  • Strong mathematical aptitude with exceptional accuracy.
  • Ability to prioritize workloads, meet deadlines, and maintain attention to detail.
  • Excellent customer service and interpersonal skills.
  • Ability to independently research, evaluate, and resolve accounting-related issues.
  • Ability to compile data and prepare accurate reports and summaries.
  • Strong verbal and written communication skills.
  • Ability to establish and maintain positive working relationships with coworkers, agencies, and the public.
  • Ability to work efficiently and accurately in an environment with frequent interruptions.
