Schedule: Monday - Thursday | 8:00 AM - 4:30 PM (30-minute lunch)

Are you an organized professional with strong administrative and accounting skills? We are seeking an experienced Office Administrator to oversee daily office operations while supporting accounting, customer service, human resources, and business functions.

This position is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in keeping an office running smoothly and efficiently.

Responsibilities

  • Process customer invoices and maintain accurate billing records.
  • Record and reconcile customer payments, including checks, ACH payments, and wire transfers.
  • Monitor accounts receivable and assist with collections.
  • Coordinate accounts payable activities and maintain vendor information.
  • Support payroll processing and PTO tracking.
  • Maintain accurate accounting records using QuickBooks Online.
  • Answer and direct incoming phone calls, emails, and customer inquiries.
  • Maintain organized electronic and physical filing systems.
  • Order office supplies and coordinate office needs.
  • Provide administrative support to management and staff.
  • Maintain customer and vendor databases.
  • Assist with employee onboarding and personnel record maintenance.
  • Track employee leave requests and documentation.
  • Update inventory records and assist with operational reporting.
  • Maintain safety meeting documentation and compliance records.
  • Assist with website updates and marketing coordination.
  • Participate in weekly management meetings and support company initiatives.

Qualifications

  • QuickBooks Online experience required.
  • Prior experience in office administration, bookkeeping, accounting, or a similar role.
  • Knowledge of accounts payable, accounts receivable, invoicing, collections, and payroll processes.
  • Strong Microsoft Office and computer skills.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • High level of accuracy and attention to detail.
  • Customer-focused with a positive, team-oriented attitude.
