Data Controller Trainee

Position Summary

Under the general direction of the Department Manager and direct supervision of the immediate Supervisor, the Data Controller Trainee supports accounting and administrative functions related to employer reporting, self-payments, account maintenance, and record management. This position plays a vital role in ensuring the accuracy and integrity of employer and member account information while delivering exceptional customer service.

Key Responsibilities

  • Maintain accurate and timely records for current and delinquent accounts, including suspense items, rate changes, and accounts referred for collection.
  • Review employer reports and supporting documentation to ensure completeness, accuracy, and compliance with reporting requirements.
  • Research and correct non-monetary reporting discrepancies and update employer billing records as needed.
  • Coordinate with internal departments, union representatives, auditors, attorneys, employers, and other stakeholders to maintain accurate employer and member records.
  • Partner with union representatives to ensure employer billing information remains current and accurate.
  • Stay informed of changes in applicable laws, regulations, and collective bargaining agreements that impact employer reporting requirements.
  • Provide exceptional customer service by responding to inquiries, resolving issues, and communicating effectively via phone, email, and written correspondence.
  • Prepare supporting documentation and reports for Account Executives and Trust meetings.
  • Conduct research and generate reports as assigned by management.
  • Maintain and update the Trust-Specific Procedures Manual.
  • Perform additional duties and special projects as assigned.

Minimum Qualifications

  • Minimum of 2 years of general office experience, including at least 1 year in an accounting, billing, or related administrative role.
  • Proficiency in operating standard office equipment and business software applications.
  • Strong attention to detail with the ability to review and process financial and accounting information accurately and efficiently.
  • Excellent verbal and written communication skills.
  • Proven ability to remain professional, positive, and composed in demanding or stressful situations.
  • Strong customer service and problem-solving skills.
  • Ability to establish and maintain effective working relationships with coworkers, management, clients, union representatives, employers, vendors, and external agencies.
  • Demonstrated reliability with a strong attendance record.
  • Ability to effectively utilize computer systems, databases, and phone systems to perform job duties.

Preferred Qualifications

  • Associate degree in Accounting, Business Administration, Finance, or a related field.
  • 2-4 years of accounting, billing, accounts receivable, data administration, or related experience beyond general office support.
  • Experience working with employer reporting, benefit administration, trust funds, or union-related environments is a plus.
