Payroll Specialist / Administrative Specialist

Position Summary

We are seeking a detail-oriented and highly organized Payroll Specialist with strong administrative skills to support daily business operations. This position is responsible for processing payroll accurately and on time while providing administrative support to ensure efficient office operations. The ideal candidate is dependable, maintains strict confidentiality, has excellent organizational skills, and thrives in a fast-paced environment.

Essential Duties and Responsibilities

Payroll Responsibilities

  • Process weekly and/or bi-weekly payroll accurately and within established deadlines.
  • Review and verify employee time records, attendance, and payroll data for accuracy.
  • Maintain employee payroll records, including new hires, terminations, pay changes, deductions, and direct deposit information.
  • Process garnishments, tax withholdings, benefit deductions, and other payroll adjustments.
  • Ensure compliance with federal, state, and local payroll regulations.
  • Prepare payroll reports and assist with payroll reconciliations.
  • Respond to employee payroll inquiries professionally and promptly.
  • Assist with year-end payroll activities, including W-2 preparation and payroll audits.
  • Maintain confidentiality of payroll and employee information at all times.

Administrative Responsibilities

  • Provide general administrative support to management and office staff.
  • Answer and direct incoming phone calls and greet visitors professionally.
  • Maintain employee files and company records.
  • Assist with onboarding paperwork and personnel documentation.
  • Order and maintain office supplies and coordinate office equipment maintenance.
  • Prepare correspondence, reports, and spreadsheets.
  • Schedule meetings and assist with calendar management.
  • Support accounting and human resources with administrative projects as needed.
  • Perform filing, scanning, data entry, and document management.
  • Complete other administrative duties as assigned.

Qualifications

  • Associate degree in Accounting, Business Administration, Human Resources, or a related field preferred; equivalent experience considered.
  • Minimum of 2 years of payroll processing experience.
  • Previous administrative or office support experience required.
  • Knowledge of payroll laws, wage and hour regulations, and payroll best practices.
  • Experience with payroll software and Microsoft Office, particularly Excel.
  • Strong mathematical, analytical, and problem-solving skills.
  • Excellent organizational and time management abilities.
  • Ability to manage multiple priorities while meeting deadlines.
  • Strong written and verbal communication skills.
  • High level of integrity and ability to maintain confidential information.

Preferred Qualifications

  • Experience with payroll systems such as ADP, Paycom, UKG, or similar platforms.
  • Experience in a multi-location or automotive dealership environment is a plus.
  • Basic accounting or bookkeeping knowledge.

Physical Requirements

  • Prolonged periods of sitting and computer work.
  • Ability to occasionally lift up to 25 pounds.
