About the Role
As an Administrative Coordinator, you will be the first point of contact for employees, visitors, and business partners. You will play a critical role in supporting day-to-day office operations while assisting supervisors and various departments with administrative functions.
The ideal candidate is professional, organized, adaptable, and comfortable managing multiple priorities. This position requires excellent communication skills, strong attention to detail, and the ability to maintain confidentiality while working with employee information and company records.
Key Responsibilities
- Serve as the first point of contact for visitors, employees, and incoming calls.
- Greet guests and provide a professional and welcoming experience.
- Answer questions and direct inquiries to the appropriate department or supervisor.
- Support employee onboarding and maintain personnel files and documentation.
- Assist employees with paperwork and general administrative needs.
- Support payroll and timekeeping processes, ensuring accuracy and timely submissions.
- Maintain accurate records, databases, and office documentation.
- Coordinate communication between employees, supervisors, and various departments.
- Schedule appointments, meetings, and other administrative activities as needed.
- Assist with data entry, reporting, filing, and document management.
- Utilize company software systems to maintain employee and operational information.
- Support day-to-day office operations and assist with special projects as assigned.
Qualifications
- Strong customer service and interpersonal skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Previous experience in administration, office support, reception, customer service, or a related field preferred.
- Experience with CRM (Customer Relationship Management) systems is a plus.
- Payroll and timekeeping experience is a plus.
- Experience working with multiple departments and supervisors is beneficial.
- High School Diploma or GED required.
