ROLE SUMMARY:
This position is responsible for managing customer purchase order processing and supporting existing customer accounts by ensuring accurate order entry, contract review, and communication. The role focuses on maintaining order flow, supporting forecast alignment, and ensuring high levels of customer satisfaction through effective coordination with internal teams.
GENERAL DESCRIPTION:
Provide high-quality customer service support with a primary focus on the accurate review, processing, and management of customer purchase orders. This role serves as a key liaison between customers and internal teams, ensuring timely communication, order accuracy, and compliance with company procedures and applicable regulatory standards. The position is responsible for maintaining sales documentation, administering customer files, and performing audited contract reviews for all company purchase orders.
ESSENTIAL FUNCTIONS:
- Review and process customer purchase orders in the Visual system, ensuring compliance with internal procedures and FDA and ISO regulations.
- Manage blanket purchase order balances, consignment inventory reconciliations, daily Kanban requirements, and other contract-specific order processing activities.
- Serve as a primary point of contact for customers by providing order status updates, coordinating expedited shipments, processing order changes, and managing RMAs.
- Maintain accurate and organized digital and physical customer sales files.
- Update and maintain CRM systems, OIF logs, and other sales-related documentation.
- Receive and route incoming new business inquiries to appropriate sales team members.
- Secure sales forecasts and distribute internally to support planning and operational alignment.
- Participate in design transfer and new product development (NPD) meetings to support project success and maintain awareness of order status.
- Provide cross-functional support to operations as needed to maintain workflow efficiency and consistent customer service.
- Attend and actively participate in meetings to communicate issues, resolve problems, and stay informed on business developments, order requirements, and company policies.
- Assist with answering corporate phone lines as needed.
REQUIRED EDUCATION AND EXPERIENCE
- Bachelor’s degree in Business, Communications, or a related field.
- Strong organizational skills with the ability to prioritize and work independently.
- Excellent written and verbal communication skills.
- Strong critical thinking and problem-solving skills.
- Ability to communicate effectively with internal and external stakeholders.
- Proficiency in Microsoft Office.
- High attention to detail.
- Previous experience in customer service and/or order processing.
- Must work and act in accordance with Command Medical Products’ core values.
PREFERRED:
- Experience in a B2B or manufacturing environment
- Familiarity with ERP systems
- Knowledge of FDA/ISO environments and/or regulated industry experience
- Bilingual (Spanish/English)
