Administrative Assistant

Our client is seeking a detail-oriented and organized Administrative Assistant to support the daily operations of a busy office. This role combines financial administration, office coordination, and operational support, making it ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in keeping processes running smoothly. The successful candidate will work closely with internal departments, vendors, and leadership while maintaining accurate financial records and ensuring efficient office operations.
Key Responsibilities:
Financial Administration:
- Process and code vendor invoices accurately and efficiently
- Create, review, and track purchase orders while ensuring goods and services are received as expected
- Prepare monthly financial reports, including accruals, inventory, and cost reporting
- Reconcile purchasing card transactions and overtime meal expenses
- Support month-end accounting activities and maintain accurate financial records
Administrative and Operational Support:
- Act as the primary administrative contact for Corporate Finance and Human Resources
- Coordinate recruitment activities, including interview scheduling and onboarding support
- Assist management with sourcing and establishing new service providers
- Communicate with vendors to resolve billing discrepancies and invoice inquiries
- Coordinate IT equipment servicing, maintenance, and system upgrades with external providers
- Maintain company procedures, records, and documentation
- Coordinate domestic and international shipments, including import and export documentation
- Monitor and replenish office and lunchroom supplies
- Organize meetings, training sessions, lunches, and company events
- Provide day-to-day administrative support to ensure efficient office operations
Qualifications:
- Previous experience in administrative, office management, accounting, or finance support role
- Experience processing invoices, purchase orders, and other financial documentation
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office, including Excel, Outlook, and Word
- Ability to manage multiple priorities and meet deadlines with minimal supervision
- Professional, customer-focused approach when working with employees, vendors, and business partners
- Experience with ERP or accounting software is considered an asset
