We are seeking an experienced Client Services & Annuity Operations Specialist to join a sophisticated wealth management firm serving High-Net-Worth (HNW) individuals, families, trusts, and business owners. This is not an entry-level service role. We are looking for a seasoned professional with deep expertise in annuity products, wealth management operations, client onboarding, and estate planning support.
The ideal candidate has a proven track record supporting financial advisors, managing complex annuity transactions, coordinating asset transfers, and delivering a white-glove client experience. You will play a critical role in helping clients transition assets, implement planning strategies, and grow assets under management (AUM).
Annuity experience is mandatory. Candidates without significant annuity processing, service, and carrier relationship experience will not be considered.
What You'll Do
Annuity Operations & Insurance Services (Primary Focus)
- Manage end-to-end annuity processing, including new applications, replacements, 1035 exchanges, rollovers, transfers, policy servicing, beneficiary changes, withdrawals, income elections, and ownership updates.
- Serve as the primary liaison between clients, advisors, insurance carriers, and back-office partners throughout the annuity lifecycle.
- Ensure annuity business is processed accurately, efficiently, and in compliance with all regulatory requirements.
- Monitor pending business and proactively resolve underwriting, suitability, NIGO (Not-In-Good-Order), and carrier-related issues.
- Maintain strong working relationships with insurance carriers and custodians.
High-Net-Worth Client Onboarding & Account Management
- Manage the full onboarding process for high-net-worth clients, including ACATS transfers and account establishment with custodians such as Schwab and Fidelity.
- Prepare, review, and process brokerage, advisory, trust, estate, retirement, and entity account documentation.
- Coordinate the movement of client assets while ensuring a seamless onboarding experience.
- Partner closely with advisors to support financial planning, retirement income planning, and wealth transfer strategies.
Client Relationship Management
- Deliver an exceptional, concierge-level service experience to affluent clients and their families.
- Act as a trusted operations resource and primary point of contact for service requests and account inquiries.
- Prepare client meeting materials, reports, agendas, and follow-up action items.
- Build long-term client relationships that contribute to retention, referrals, and asset growth.
Operations, Reporting & Administration
- Maintain complete and accurate client records in CRM and portfolio management platforms.
- Generate client reports using systems such as Envestnet, Morningstar, Orion, Tamarac, or Albridge.
- Process money movements, including wires, ACH transactions, distributions, RMDs, and account maintenance requests.
- Coordinate with advisors, custodians, compliance teams, attorneys, CPAs, and other professional partners.
Compliance & Risk Management
- Review and maintain KYC documentation and client profiles.
- Verify authorization and documentation requirements for all transactions.
- Ensure adherence to firm policies, state insurance regulations, and industry compliance standards.
Required Qualifications
Non-Negotiable Requirements
- Active Florida 2-15 Life, Health & Annuities License
- 3+ years of hands-on annuity operations, annuity servicing, or annuity case management experience
- 3+ years of experience within an RIA, Broker-Dealer, Insurance Agency, Independent Marketing Organization (IMO), Wealth Management Firm, or Financial Services organization
- Demonstrated experience processing fixed, fixed indexed, and variable annuity business
- Experience managing carrier relationships and resolving pending business issues
- Strong knowledge of retirement income products and annuity regulations
Preferred Qualifications
- Bachelor's degree in Finance, Economics, Business Administration, or related field
- Experience supporting High-Net-Worth and Ultra-High-Net-Worth clients
- Working knowledge of estate planning concepts, trusts, and wealth transfer strategies
- FINRA Series 7 and/or Series 66 licenses
- Experience with Salesforce, Redtail, Schwab Advisor Center, Fidelity Wealthscape, or similar platforms
