Project Coordinator

 

Position Summary: Provides administrative and operational support to the Program Manager in the planning, execution, and monitoring of defense programs.  Coordinates project activities, maintain schedules and documentation, track project deliverables, and facilitates communication among cross-functional teams.  

Key Responsibilities:

  • Provide day-to-day support to the Program Manager in the execution of defense and government programs.
  • Coordinate project schedules, meetings, milestones, and deliverables across cross-functional teams.
  • Prepare meeting agendas, document meeting minutes, track action items, and follow up on assignments.
  • Monitor project progress and provide regular status updates, reports, and metrics for leadership and stakeholders.
  • Support budget tracking, labor reporting, purchase requests, and project financial documentation.
  • Assist in preparing customer presentations, technical reviews, Program Management Reviews (PMRs), and executive briefings
  • Track project risks, issues, and change requests, ensuring timely resolution and escalation when appropriate.
  • Support contract administration by helping monitor deliverables, milestones, and reporting requirements.
  • Coordinate subcontractor and supplier documentation and follow up on project deliverables as directed.
  • Maintain project records in accordance with company procedures and government compliance requirements (e.g., ITAR, CUI).
  • Identify opportunities to improve project coordination processes and administrative efficiency.

Required Qualifications:

  • Bachelor's degree in Business Administration, Project Management, Engineering, or related field, or equivalent experience
  • 2-5 years experience in project coordination, project administration, or program support, preferably within aerospace or defense industry.
  • Strong organizational and time-management skills with ability to manage multiple priorities.
  • Proficiency in Microsoft Suite, including Excel, Word, Powerpoint, and Outlook.
  • Experience using Microsoft Project or other project management software.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with cross-functional teams.
  • Strong attention to detail.
  • U.S. Citizenship.

Preferred Qualifications:

  • Experience supporting Department of Defense (DoD) or government programs.
  • Familiarity with project management principles, Earned Value Management (EVM) and DoD acquisition processes.
  • Experience with Enterprise Resource Planning (ERP) systems such as SAP or Oracle.
  • Familiarity with FAR/DFARS, ITAR, and CUI handling requirements is a plus.
