Administrative Assistant 

Location: McAllen, TX
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Pay: $12.00 per hour

 

 

Position Overview

We are seeking a dependable, organized, and bilingual Administrative Assistant to support the daily operations of a court-ordered education program. This role involves assisting clients throughout the enrollment process, maintaining accurate records, coordinating class documentation, and serving as a liaison between clients and court-related professionals.

The ideal candidate is detail-oriented, comfortable with technology, and possesses excellent communication and customer service skills.

Key Responsibilities

  • Answer incoming calls and assist clients with enrollment into court-ordered classes.
  • Explain program requirements and answer questions regarding the enrollment process.
  • Email enrollment forms, class materials, and other required documents to clients.
  • Document all client interactions, payments, attendance, and case notes accurately.
  • Process payments and maintain organized records.
  • Prepare and issue course completion certificates.
  • Assist clients with completing paperwork and resolving technical issues related to virtual classes or email communication.
  • Communicate professionally with attorneys, probation officers, parole officers, court staff, and other agencies regarding client participation and documentation.
  • Maintain confidentiality of client records and sensitive information.
  • Perform general administrative duties including data entry, filing, scheduling, and document preparation.

Qualifications

  • High school diploma or equivalent required.
  • Previous administrative, customer service, receptionist, or office experience preferred.
  • Bilingual in English and Spanish required.
  • Proficient in Microsoft Word, Excel, Outlook, and email communication.
  • Strong computer and technology skills with the ability to assist clients remotely.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple tasks in a fast-paced office environment.
  • Professional, dependable, and able to maintain confidentiality.

Preferred Skills

  • Experience working with legal, court, social services, or educational programs is a plus.
  • Strong problem-solving and customer service abilities.
  • Ability to communicate effectively with clients from diverse backgrounds while maintaining professionalism and empathy.
