Position Summary
The Warehouse Administrative Assistant provides administrative and clerical support to the Warehouse Manager by inputting data and generating various reports related to daily operations. This position assists with office organization, communication, document management, and customer service while maintaining professionalism and confidentiality. The ideal candidate is organized, detail-oriented, dependable, and capable of managing multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
- Answer and direct incoming telephone calls.
- Greet any visitors and assist them with talking to the proper person
- Input data from manual time sheets into Excel Spreadsheet to track full time and temporary employee labor costs
- Prepare correspondence, reports, presentations, and other documents when requested
- Maintain electronic and paper filing systems.
- Enter data into Keesing’s Microsoft Business Central (BC) inventory system
- Process shipping labels when requested for FedEx and UPS shipments
- Assist KPFS Team by preparing and distributing weekly inventory cycle count documents.
- Fill out Purchase Order requests for all warehouse materials and supplies.
- Work with Company IT Department to communicate and resolve issues with company computers and/or video conference equipment.
- Provide administrative support to Warehouse Manager when company’s new safety program is implemented.
- Maintain confidentiality of sensitive company and employee information.
- Perform general office duties including copying, scanning, printing, and document preparation.
- Complete additional assignments as directed by Warehouse Manager.
Required Qualifications
- High school diploma or GED required.
- Have some prior experience working in a warehouse/manufacturing environment.
- Previous administrative and warehouse office experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Ability to prioritize work and meet deadlines.
- Professional demeanor and ability to work with diverse teams
- Ability to work independently with minimal supervision.
- Strong attention to detail and accuracy.
Physical Requirements
- Sit for extended periods.
- Occasionally lift up to 25 pounds.
- Frequent use of computers and standard office equipment.
- Ability to communicate effectively in person, by telephone, and electronically.
Work Environment
This position works in an office area located within a warehouse/manufacturing environment. The employee may occasionally perform some duties in the manufacturing area. The role requires ability to move around throughout the workplace.
