The Compliance Operations Coordinator provides administrative, operational, and customer support for the Quality Control Commission (QCC) Compliance Operations and Construction Products Group (CPG). This position is responsible for coordinating compliance activities, managing application and reporting processes, supporting inspection operations, maintaining data integrity across multiple systems, and delivering exceptional customer service to Report Holders. The role also contributes to continuous process improvement, documentation management, and cross-functional initiatives that support organizational compliance and operational excellence.
Support day-to-day QCC Compliance Operations, including inspections, material witnessing, and Construction Products Group (CPG) activities.
Coordinate inspection schedules and monitor report completion to ensure accuracy, timeliness, and customer satisfaction.
Perform technical and administrative functions supporting compliance operations, data management, and operational processes.
Process incoming applications, renewals, purchase orders, evaluation reports, evaluation criteria, certificates, and related compliance documentation.
Review client applications, invoices, compliance documentation, and supporting records to ensure completeness and adherence to CPG policies and regulatory requirements.
Maintain applicant and client records by ensuring all required documentation is properly filed according to IAPMO QCC procedures.
Support Continuous Compliance Inspections and material witnessing activities for factories and warehouse locations in accordance with established policies and procedures.
Schedule inspections and coordinate activities with clients, inspectors, and internal departments.
Compile, verify, and submit inspection reports and supporting documentation.
Track inspection report status to ensure timely completion and submission.
Identify documentation deficiencies and communicate required updates to clients.
Coordinate with inspection personnel regarding compliance requirements, quality documentation, and client updates.
Assist in the development, review, and revision of Quality Control Manuals, policies, and Standard Operating Procedures (SOPs) to maintain compliance and operational efficiency.
Design, develop, and maintain Smartsheet solutions, workflows, dashboards, and automated processes.
Analyze and manage data to ensure accurate and current information across Smartsheet, Laserfiche, web platforms, and related databases.
Maintain data integrity and support reporting functions that improve operational efficiency and compliance tracking.
Assist with trade show data management, including exhibitor lists, lead tracking, and related databases.
Provide professional customer support through phone, email, electronic communication, and in-person interactions.
Respond to Report Holder inquiries regarding applications, inspections, compliance requirements, reports, and certification processes.
Resolve customer issues while maintaining high levels of professionalism and service quality.
Process incoming payments and maintain accurate financial records.
Coordinate payment processing with the Accounts Receivable department.
Monitor accounts receivable aging reports and implement strategies to reduce outstanding balances and improve collection timelines.
Support bookkeeping activities and administrative financial functions.
Edit and proofread written content for websites, newsletters, social media, procedures, and other organizational communications.
Review policies and procedures, recommend process improvements, and assist with implementing operational enhancements.
Ensure documentation remains accurate, organized, and compliant with company standards.
Support and promote IAPMO CPG services and other IAPMO Group services through professional customer interactions and operational excellence.
Collaborate with supervisors, department leaders, and cross-functional teams on departmental initiatives and special projects.
Follow instructions accurately and execute assignments efficiently.
Communicate effectively with internal and external stakeholders.
Foster collaboration across departments to support organizational goals.
Adhere to all company policies, procedures, Code of Conduct, confidentiality requirements, and regulatory standards.

Strong organizational and project coordination skills with exceptional attention to detail.

Experience managing multiple priorities and meeting deadlines in a fast-paced environment.
Proficiency in Microsoft Office Suite and Smartsheet; experience with Laserfiche or similar document management systems preferred.

Ability to interpret policies, procedures, and compliance requirements.

Experience supporting compliance, certification, inspection, quality assurance, or regulatory programs.
Experience with accounts receivable, bookkeeping, or financial administration.
Experience with workflow automation, database management, and business process improvement.
Familiarity with quality management systems, technical documentation, or standards development is preferred.
