Equipment Material Handler

Position Summary

The Fleet Material Handler is responsible for supporting fleet and equipment reliability through inspections, preventive maintenance coordination, repair management, vendor communication, and equipment readiness activities. This role serves as a key liaison between Operations, Logistics, Drivers, Vendors, and Fleet Management to ensure equipment remains safe, compliant, and available for service. The Fleet Material Handler performs routine inspections, coordinates maintenance and repair activities, manages DVIR communications, monitors telematics alerts, and supports continuous improvement initiatives while maintaining compliance with safety and regulatory requirements.


Essential Duties and Responsibilities

Fleet Maintenance & Equipment Management

  • Conduct truck, trailer, and equipment inspections upon arrival and document findings.
  • Review Driver Vehicle Inspection Reports (DVIRs) and coordinate corrective actions for reported defects.
  • Identify, document, and communicate equipment repair needs and preventive maintenance requirements.
  • Coordinate and track scheduled preventive maintenance (PM) activities to ensure fleet compliance.
  • Assist with equipment setup, changeovers, and basic repairs.
  • Perform routine inspections, lubrication, cleaning, and minor maintenance of fleet equipment and tools.
  • Support maintenance technicians with troubleshooting minor mechanical, pneumatic, and electrical issues.
  • Participate in equipment shutdowns and preventive maintenance programs.
  • Verify completed repairs and maintain accurate maintenance records.

Repair Coordination & Vendor Management

  • Serve as the primary point of contact for maintenance vendors and repair facilities.
  • Coordinate repair scheduling and service appointments.
  • Obtain repair estimates and facilitate repair approval processes.
  • Monitor repair progress and communicate status updates to stakeholders.
  • Assist with execution and follow-up of repair work to minimize equipment downtime.
  • Support after-hours breakdown response and repair coordination as required.

Communication & Fleet Support

  • Manage DVIR communications between drivers, operations personnel, maintenance providers, and fleet leadership.
  • Communicate preventive maintenance schedules and equipment availability to operations teams.
  • Maintain relevant team members informed of Samsara alerts and fleet-related maintenance notifications.
  • Coordinate communication regarding driver and equipment changes.
  • Participate in daily equipment and operational meetings.
  • Lead end-of-shift fleet status updates and communicate critical maintenance concerns.

Documentation & Reporting

  • Document maintenance activities, inspections, repairs, and equipment conditions.
  • Maintain fleet maintenance records and work order documentation.
  • Report abnormal equipment conditions and recurring maintenance issues to management.
  • Assist in tracking equipment performance, maintenance compliance, and repair history.
  • Support reporting and analysis of fleet maintenance activities.

Safety & Compliance

  • Follow all OSHA, DOT, environmental, and company safety policies and procedures.
  • Ensure compliance with lockout/tagout (LOTO) requirements and equipment operating standards.
  • Properly use required personal protective equipment (PPE).
  • Participate in safety meetings, toolbox talks, and safety audits.
  • Identify and immediately report unsafe conditions, hazards, incidents, and near misses.
  • Complete required hazardous materials (HazMat) training related to company products and operations.
  • Support regulatory compliance and fleet safety initiatives.

Workplace Organization

  • Maintain clean, organized, and efficient work areas.
  • Support 5S, Lean, and continuous improvement initiatives.
  • Ensure tools, equipment, and materials are properly stored and maintained.

Qualifications

Required Knowledge, Skills, and Abilities

  • Working knowledge of fleet maintenance and repair processes.
  • Understanding of vehicle inspection procedures and preventive maintenance programs.
  • Strong organizational and documentation skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Effective verbal and written communication skills.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Proficiency with Microsoft Office applications and maintenance management systems.
  • Experience utilizing telematics systems such as Samsara preferred.

Experience

  • 2–5 years of experience in fleet maintenance, equipment management, transportation operations, logistics, or a related field preferred.
  • Experience coordinating repairs, vendors, or maintenance activities preferred.

Education

  • High school diploma or GED required.
  • Technical, vocational, or fleet maintenance education preferred.

Physical Requirements

  • Ability to work in indoor and outdoor environments.
  • Ability to stand, walk, bend, kneel, and climb as needed to inspect equipment.
  • Ability to occasionally lift and move materials or parts weighing up to 50 pounds.
  • Ability to safely access trucks, trailers, and fleet equipment for inspection purposes.

Pay: $24-30/hr DOE

Hours: M-F 7a-5p
