Position Summary:

The Assistant / Care Manager supports daily operations of the home care agency by coordinating client services, assisting caregivers, maintaining compliance documentation, scheduling services, and communicating with clients, families, referral sources, and staff. This position helps ensure quality care, continuity of services, and compliance with state and agency requirements.

 

Essential Duties and Responsibilities:

• Assist with client intake, service coordination, and onboarding
• Maintain client and employee files in compliance with agency policies and state regulations
• Coordinate caregiver schedules and coverage for client shifts
• Monitor EVV compliance, timesheets, and visit verification accuracy
• Communicate with caregivers regarding schedules, call-offs, and client needs
• Conduct follow-up calls with clients and caregivers to ensure satisfaction and quality of care
• Assist with care plans, service updates, and documentation
• Track authorizations, certifications, and required paperwork
• Support recruitment, onboarding, and orientation of caregivers
• Assist with incident reporting and documentation
• Maintain confidentiality of all client and employee information
• Answer phones, respond to emails, and provide general office support
• Work collaboratively with supervisors, nurses, and administrative staff
• Ensure compliance with Medicaid, VA, and agency requirements as applicable

 

Qualifications:

• High school diploma or equivalent required
• Experience in home care, healthcare, scheduling, or customer service preferred
• Strong communication and organizational skills
• Ability to multitask in a fast-paced environment
• Basic computer skills including email, scheduling systems, and Microsoft Office
• Knowledge of EVV systems preferred
• Ability to maintain professionalism and confidentiality
• Bilingual preferred but not required

 

Physical Requirements:

• Ability to sit, stand, walk, and use office equipment for extended periods
• Ability to occasionally lift up to 20 pounds
• Reliable transportation may be required for occasional field visits

 

Schedule:

• Full-time or part-time available
• May require occasional evening or weekend availability
