Overview:
We are seeking a highly professional, discreet, and exceptionally organized Executive Assistant to serve as the principal support professional to the President. This role is the operational backbone of the executive office — managing complex priorities, facilitating high-level communications, and ensuring the President can lead effectively. The ideal candidate exercises sound independent judgment, thrives in a fast-paced environment, and represents the organization with the utmost professionalism at every level.

Responsibilities:

Executive & Calendar Support:

  • Manage the President's complex calendar, appointments, travel arrangements, and scheduling priorities
  • Screen and prioritize communications, correspondence, visitors, and requests for executive engagement
  • Anticipate operational challenges and proactively address issues before they escalate

Communications & Correspondence:

  • Draft, edit, proofread, and coordinate executive correspondence, reports, presentations, speeches, and memoranda
  • Conduct research, compile data, and prepare executive briefings and background materials to support leadership decision-making
  • Maintain highly confidential records and information with professionalism and discretion

Board & Governance Support:

  • Coordinate all logistics, materials, and communications related to board meetings and assigned committees
  • Take and transcribe minutes of board meetings and other executive meetings as directed by the President

Events & Stakeholder Relations:

  • Act as a trusted liaison between the President and internal and external constituents — including board members, staff, donors, elected officials, partners, and community leaders
  • Coordinate executive events, donor meetings, community engagements, and organizational ceremonies
  • Represent the Office of the President with diplomacy, sound judgment, and exceptional professionalism

Project & Administrative Management:

  • Manage and execute special projects, strategic initiatives, and organizational priorities assigned by the President
  • Monitor project timelines, coordinate across departments, and ensure timely completion of executive assignments
  • Process purchase requisitions, travel authorizations, expense reports, and related administrative transactions
  • Supervise, train, and evaluate assigned support personnel
  • Perform other duties as assigned by the President

Minimum Qualifications:

  • Bachelor's degree from an accredited institution
  • 3–5 years of progressively responsible administrative, executive office, or related professional experience
  • Exceptional written and verbal communication skills with advanced proficiency in office technologies
  • Demonstrated ability to prepare executive-level correspondence, reports, presentations, and confidential documents
  • Strong organizational skills, attention to detail, and a high degree of discretion

Preferred Qualifications:

  • Master's degree from an accredited institution
  • 5–10 years of experience in executive support, operations, board relations, or a related field
  • Demonstrated success managing competing priorities, solving complex problems, and leading special projects with minimal supervision
  • Prior experience supporting C-suite executives, governing boards, donors, or elected officials strongly preferred
