Essential Duties and Responsibilities

Admissions and Applicant Services

  • Answer admissions inquiries by phone, email, and in person.
  • Process and review applications for completeness and accuracy.
  • Maintain waiting lists and applicant files in accordance with HUD and company policies.
  • Schedule and conduct applicant interviews, property tours, and informational meetings.
  • Coordinate move-ins, move-out activities, and related documentation.
  • Prepare admission packets, correspondence, verification forms, and resident files.
  • Maintain accurate and detailed notes regarding applicant and resident communications.
  • Assist with obtaining and tracking third-party verifications.
  • Coordinate interpreters and translators when necessary.
  • Provide information regarding eligibility requirements, housing programs, and community policies.

Administrative Support

  • Enter and update applicant and resident information in property management software.
  • Maintain organized and confidential files.
  • Prepare letters, reports, spreadsheets, and other documentation.
  • Order and maintain office supplies.
  • Assist with copier, fax, and other office equipment maintenance.
  • Support department projects and special assignments.

Customer Service

  • Deliver exceptional customer service to applicants, residents, families, and community partners.
  • Respond professionally and compassionately to sensitive and emotional situations.
  • Maintain positive working relationships with residents, staff, vendors, and referral agencies.
  • Conduct apartment tours and marketing presentations as assigned.

Compliance and Recordkeeping

  • Follow all Fair Housing, HUD, and company policies and procedures.
  • Assist with maintaining compliance documentation and resident records.
  • Protect confidential applicant and resident information.
  • Ensure all files are complete, accurate, and audit-ready.
  • Support affirmative fair housing and occupancy compliance efforts.

Team Collaboration

  • Communicate effectively with property management, maintenance, resident services, and administrative staff.
  • Attend required staff meetings, training sessions, and professional development opportunities.
  • Perform additional duties and special projects as assigned.

Qualifications

Education and Experience

Preferred:

  • Two (2) years of college coursework or equivalent related work experience.
  • Experience in apartment leasing, property management, admissions, customer service, or affordable housing.
  • HUD, Tax Credit, or affordable housing experience strongly preferred.
  • Experience working with seniors preferred.

Knowledge, Skills, and Abilities

  • Strong computer skills, including Microsoft Word, Excel, Outlook, and property management software.
  • Knowledge of Fair Housing regulations.
  • Knowledge of HUD regulations and affordable housing programs preferred.
  • Excellent organizational and administrative skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and professionalism.
  • Strong customer service and interpersonal skills.
  • Ability to work effectively with individuals from diverse cultural and socioeconomic backgrounds.
  • Ability to accept constructive feedback and implement changes.
  • Ability to work independently and collaboratively as part of a team.

Physical Requirements

  • Ability to lift and carry up to 50 pounds.
  • Ability to sit, stand, walk, bend, stoop, squat, push, pull, and reach for extended periods.
  • Ability to perform duties requiring repetitive movement and prolonged computer use.
  • Ability to tour properties and escort prospective residents throughout apartment communities.

  • Reliable transportation and willingness to travel between properties for training, apartment tours, and admissions-related activities.
  • Ability to maintain a professional appearance and demeanor.
  • Commitment to providing outstanding service to seniors and prospective residents.
  • Commitment to complying with all company policies, HUD regulations, Fair Housing requirements, and confidentiality standards.

Preferred Qualifications

  • HUD occupancy certification or related affordable housing experience.
  • Apartment leasing experience.
  • Bilingual proficiency in English and Spanish or other languages.
