We are seeking a detail-oriented Payroll/HR Assistant to join our team in La Verne, CA. This position will support payroll processing, employee relations, and human resources operations. The ideal candidate will have experience handling payroll administration, HR processes, and employee support while maintaining accuracy, confidentiality, and compliance with company policies and employment regulations.
This role will serve as the primary Payroll/HR contact for approximately 115 employees, ensuring accurate payroll processing, maintaining employee records, supporting onboarding activities, and providing exceptional service to employees and management.
Compensation: $25.00 – $29.00 per hour (DOE)
- Key Responsibilities:
• Process accurate semi-monthly, multi-state payroll while ensuring timely submission and compliance with company policies and regulations.
- Serve as the primary Payroll/HR contact for assigned employee groups and provide ongoing HR support as needed.
- Review, verify, and maintain payroll data, including timekeeping records, employee changes, deductions, and payroll adjustments.
- Validate payroll reports and ensure accuracy prior to final payroll processing.
- Manage employee updates, including pay rate changes, job title changes, department transfers, exemptions, terminations, and leaves of absence.
- Maintain employee records and ensure HR documentation is accurate, organized, and compliant.
- Assist with new hire onboarding, including employee setup in ADP TotalSource, new hire paperwork, and employment documentation.
- Process manual checks, payroll adjustments, and online ACH transactions as needed.
- Maintain and reconcile employee vacation and sick leave balances.
- Prepare payroll, HR, and compliance reports for Accounting, leadership, and management teams.
- Coordinate payroll-related reporting and transfer schedules with the Accounting Department.
- Assist with billing and expense allocations related to payroll and HR services.
- Support workers’ compensation administration, including injury reporting, claims coordination, and communication with employees, insurance carriers, medical providers, and ADP.
- Respond to employee and manager questions regarding payroll, benefits, company policies, and HR procedures.
- Support employee relations by assisting with workplace concerns, employee inquiries, and HR-related matters.
- Track required employee training and follow up with employees and managers to ensure completion.
- Conduct periodic audits of payroll records and personnel files to maintain accuracy and compliance.
- Assist with year-end payroll activities, audits, and special HR projects.
- Maintain confidentiality of sensitive employee, payroll, medical, and company information.
- Ensure compliance with federal, state, and local employment laws and company policies.
- Perform additional payroll, HR, and administrative duties as assigned.
Qualifications:
- 3+ years of payroll and HR administrative experience.
- Experience processing multi-state payroll preferred.
- Strong knowledge of payroll practices, HR procedures, and employment compliance.
- Experience with ADP TotalSource or similar payroll/HRIS systems preferred.
- Strong attention to detail with excellent organizational and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive employee information.
- Excellent communication skills with the ability to work effectively with employees, managers, and external partners.
- Proficiency with Microsoft Office Suite, especially Excel.
