Job Title: Administrative Assistant – Bail Bonds

Position Summary

We are seeking a detail-oriented and dependable Administrative Assistant with bail bonds experience to support the daily operations of our office. The ideal candidate is organized, professional, and able to work efficiently in a fast-paced environment while maintaining confidentiality and providing excellent customer service to clients, courts, law enforcement agencies, and attorneys.

Key Responsibilities

  • Answer and direct incoming phone calls in a courteous and professional manner.
  • Greet clients and assist them with bail bond paperwork and general inquiries.
  • Prepare, process, and maintain bail bond documentation accurately and in compliance with company policies and state regulations.
  • Verify client information and maintain organized, confidential files.
  • Coordinate with courts, jails, attorneys, law enforcement agencies, and indemnitors regarding bond status and required documentation.
  • Schedule appointments and manage office calendars.
  • Process payments, issue receipts, and maintain accurate financial records.
  • Monitor court dates and follow up with clients regarding upcoming appearances and required documentation.
  • Maintain electronic and physical filing systems.
  • Perform data entry and update client information in company software.
  • Assist with collections and payment plan tracking as needed.
  • Order office supplies and support general administrative functions.
  • Ensure compliance with company policies, licensing requirements, and applicable laws.

Qualifications

  • Previous administrative experience in a bail bonds office required.
  • High school diploma or equivalent; additional administrative training is a plus.
  • Strong understanding of bail bond procedures, legal documentation, and court processes.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Experience with bail bond management software is preferred.
  • Ability to handle confidential information with discretion.
  • Professional demeanor and excellent customer service skills.

Preferred Skills

  • Knowledge of local court systems and jail procedures.
  • Cash handling and payment processing experience.
  • Ability to remain calm and professional in high-pressure situations.
  • Strong problem-solving and conflict-resolution skills.
  • Bilingual (English/Spanish) is a plus.

Physical Requirements

  • Ability to sit, stand, and use office equipment for extended periods.
  • Occasionally lift up to 25 pounds.
  • Ability to work evenings, weekends, or on-call shifts if required.
