Community Engagement Assistant

Overview:
We are a non-profit performing arts organization seeking a dependable, trustworthy, and hardworking individual to support our community engagement and education programs. This role is integral to our mission and long-term growth, providing high-level administrative and operational support directly to the Executive Director across development, communications, donor relations, and special events.
Responsibilities:
Program & Development Support:
- Collaborate hands-on with the ED to research, develop, and expand educational programming — with a focus on reaching rural and underserved communities
- Support development initiatives including campaigns, donor relations, and community partnerships
- Adhere to project timelines and actively support events, concerts, and marketing initiatives
Patron Relations & Communications:
- Maintain patron engagement through professional correspondence via phone, mail, and email
- Prepare, organize, and file documents and letters
- Handle patron inquiries and provide a high level of patron care
- Update and maintain accurate patron records in organizational databases
Administrative & Clerical Support:
- Assist the ED with calendar management, filing, and general clerical duties
- Pick up, process, and manage incoming mail and deliveries
- Assist with event ticketing and volunteer coordination
Event & Front-of-House Operations:
- Set up and break down event spaces for concerts and organizational events
- Perform front-of-house duties during events as needed, including evenings and weekends
Requirements:
- Strong multitasking abilities and keen attention to detail
- Proficiency in Microsoft 365 and database management tools
- Comfortable operating standard office equipment
- Ability to work independently and maintain strict confidentiality
- Professional demeanor with exceptional interpersonal and analytical skills
- Must have reliable personal transportation and availability for scheduled evenings and weekends
Physical Requirements:
Candidates must be able to stand or sit for extended periods, lift up to 25 lbs., and approach all tasks — large or small — with resourcefulness and a team-first mindset. This role calls for a calm, results-oriented individual who thrives under pressure and understands that every contribution matters to the organization's success.
