Administrative & Shop Coordinator

Our client is looking for a detail-oriented, highly organized Administrative & Shop Coordinator to support their shop operations. This role serves as the connective tissue between the shop, the field, and the office — keeping projects moving through accurate documentation, proactive scheduling support, and clear communication across teams. Responsibilities

Administrative & Shop Coordination

  • Create and update Stratus Work Packages as directed by the Superintendent/Manager to accurately track shop progress and delivery to the field.
  • Assist with scheduling, tracking ROS (Release of Steel) dates, and updating project statuses in support of the Superintendent.
  • Process Fabrication Ticket requests and ensure complete information is handed off to the Fab Team for non-modeled items.

Document Control & Recordkeeping

  • Manage the internal flow of documents for all NDE (Non-Destructive Examination) testing.
  • Maintain welder certifications and related documentation.
  • Maintain digital and physical filing systems for MTRs, packing slips, and other project records.
  • Maintain document control across various company platforms.

Operations Support

  • Monitor the fab shop email inbox for new work releases, ROS date changes, and other critical fabrication information.
  • Requisition fabrication materials for projects as needed, and maintain follow-up on material control logs by project, including backorders.
  • Coordinate shipping and receiving with the fab shop shipping department, job sites, project managers, trucking companies, and suppliers.

Team & Administrative Support

  • Support the Shop Superintendent by setting up project files, job setup data, and other tasks as required.
  • Act as a liaison and assist with business arrangements while keeping leadership informed of urgent developments.
  • Disseminate office correspondence, including phone messages, files, and payroll checks.
  • Help maintain office organization, supplies, and inventory.

Additional Duties

  • Provide administrative support to ensure timely and accurate completion of tasks.
  • Perform additional tasks and projects as assigned.

Qualifications

Experience

  • 1–3 years of administrative support experience; construction industry experience preferred.
  • Experience working with office coordination and operations teams.
  • Prior experience with Stratus software preferred.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree a plus.

Required Skills

  • Comfortable in a fast-paced environment managing multiple tasks and projects at once.
  • Skilled at organizing and managing large volumes of files, tasks, schedules, and information.
  • Self-directed and able to work with limited supervision.
  • Energetic, proactive, and eager to prioritize workload and tackle new projects and ideas.
  • High degree of accuracy and attention to detail in data entry.
  • Strong collaboration skills with customers, operations managers, field, and office personnel.
