We are seeking a highly organized and detail-oriented Bookkeeper & Office Administrator to support the daily financial and administrative operations of our client's company. This role is ideal for someone who enjoys working in a fast-paced environment, takes pride in accurate financial recordkeeping, and is comfortable managing multiple responsibilities across accounting, office administration, and HR support.
As a key member of the team, you'll help ensure smooth business operations by maintaining accurate financial records, coordinating administrative processes, and supporting employees with essential office functions.
Key Responsibilities
Bookkeeping & Financial Administration
- Manage day-to-day bookkeeping functions, including accounts payable, accounts receivable, invoicing, expense tracking, and bank reconciliations
- Support payroll processing and maintain accurate financial records using QuickBooks or similar accounting software
- Assist with preparing financial reports, account summaries, and other reporting for leadership
- Process vendor and supplier payments and maintain purchase order tracking
- Ensure financial records are organized, accurate, and audit-ready
Office Administration
- Order office and shop supplies and manage inventory of consumables
- Maintain organized digital and physical filing systems
- Coordinate routine administrative tasks to keep office operations running efficiently
- Support communication with vendors, suppliers, and service providers
HR & Compliance Support
- Assist with employee onboarding paperwork and documentation
- Coordinate benefits enrollment and maintain personnel records
- Support timekeeping and payroll-related administrative functions
- Track licenses, certifications, insurance renewals, and other compliance requirements
Qualifications Required
- 2+ years of bookkeeping, accounting support, office management, or administrative experience
- Associate degree in Accounting, Business Administration, Finance, or a related field (preferred)
- Experience with QuickBooks or similar accounting software
- Proficiency in Microsoft Office or Google Workspace
- Strong organizational skills with exceptional attention to detail
- Excellent communication and time-management abilities
- Ability to prioritize multiple responsibilities in a fast-paced environment
- Experience working in a small business, manufacturing, construction, or industrial environment
Schedule:
- Flexible schedule - estimated 20-25 hours per week
