We are seeking an experienced Office & Order Desk Administrator to join an industrial company in Coquitlam. This is a full-time & permanent role.


Qualifications & Experience:

  • 3+ years of experience in office administration and order/sales order support in an industrial office environment
  • Exposure to the oil/gas/lubricant industry would be a strong asset
  • Proven experience working with ERP systems and a proficiency with MS Suite
  • Excellent communication and interpersonal skills with a customer-focused approach
  • Outgoing and open personality, willingness to learn
  • References and a background screening will be conducted for candidates moving forward in consideration

Role Responsibilities:

  • Provide front-line customer service by answering, screening, and directing incoming calls, and managing general customer enquiries
  • Monitor and manage shared order desk email inboxes, coordinating with warehouse and dispatch teams to provide delivery updates and ETAs
  • Perform general office administration including mail handling, document management, scanning, filing, and internal coordination across multiple locations
  • Assist with social media posting and company communications as needed
  • Cross-train on processes across affiliated business units to provide coverage and operational continuity
  • Perform general office upkeep and administrative support tasks as assigned
    Support A/R functions, including processing payments, applying transactions, reconciling deposits, and maintaining accurate records
  • Retrieve and organize payment confirmations and maintain supporting AR documentation
  • Execute billing processes including entering BOLs, creating invoices (manual and system-generated), and validating billing data accuracy
  • Generate, post, and distribute customer invoices in a timely manner
  • Assist with monthly reporting, including sales reports and customer statements distribution
  • Support month-end close processes using established checklists
  • Update pricing at designated locations as required
    Collaborate closely with Accounts Receivable, Sales, Dispatch, and Operations teams
  • Reporting to the Office Manager
