Salary: $24-$28 an hour

We are currently recruiting for a Mechanical Service Coordinator for a mechanical contractor in Port Coquitlam! This is a Full-Time & Permanent role within their team.

A successful candidate would be one that comes from a background of HVAC/mechanical contracting and fluent in scheduling/dispatching HVAC technicians to jobsites with excellent communication skills & the ability to pivot with changes.

Requirements:

  • 3+ years of administrative/coordinator experience within the HVAC/Mechanical industry
  • 2+ years of service dispatching, scheduling in a mechanical or field service environment
  • Proficiency with JONAS or other service dispatching software is an asset
  • Excellent communication skills: written & verbal
  • Ability to prioritize tasks & meet deadlines in a fast-paced environment
  • Willingness to learn & support a team
  • Reflects longevity in previous employment history
  • Flexible with the ability to pivot with changes that arises on jobs

Duties:

  • Answer all customer & service inquiry calls incoming
  • Dispatching (5+) Service Technicians with the necessary parts to perform the job
  • Constant communication with Technicians on the jobs & supporting them: tracking parts, obtaining appropriate customer approvals
  • Optimize resource utilization by coordinating multiple service requests based on urgency
  • Following-up with customers on updates & service resolution process
  • Review schedule requisitions, distances & personnel availability to minimized operating costs & time-efficiency
  • Anticipating and planning for increases/decreases in service volumes, shifting resources in response to seasonal and other fluctuations.
  • Recording and distributing information to appropriate departments, including site information, service issues, sales opportunities, dispatch activities, and workplace safety issues in our internal systems.
  • Coordinating office and warehouse activities, managing shipments, inventory, and office supplies.
  • Maintaining job and administrative files, formatting reports, managing work reports, and taking meeting minutes.
  • Managing Technicians and fleet maintenance schedules.
  • Providing scheduling and logistical support for meetings, events, travel, field schedules, and reservation arrangements.
  • Fulfilling additional responsibilities as assigned
