Location: Stayton, OR
PAY: $23.68 - $25.88 per hour (DOE)
Schedule: Full-Time | Temporary Assignment (Approximately 6 Weeks) | Start Date: Week of June 22
We are seeking an organized and customer-focused Office Specialist to provide administrative support for Public Works and Community & Economic Development operations. This temporary assignment is needed to assist during a staffing transition and is expected to last approximately 6 weeks.
Key Responsibilities:
• Provide customer service and administrative support to multiple departments
• Prepare reports, correspondence, bid documents, and meeting materials
• Maintain records in accordance with Oregon retention requirements
• Schedule meetings and coordinate department calendars
• Process permits, applications, and associated fees
• Track and maintain department expenses and records
• Coordinate facility rentals, reservations, and customer communications
• Administer backflow prevention program records and compliance tracking
• Prepare agendas, meeting packets, and minutes for boards and commissions
• Assist with website updates and special projects
• Serve as a primary point of contact for the public and outside agencies
Qualifications:
• High School Diploma or GED required
• Minimum three years of administrative, clerical, or secretarial experience, or an equivalent combination of education and experience
• Strong customer service skills
• Experience maintaining records, reports, and statistical data
• Advanced proficiency in Microsoft Word and Excel
• Proficiency with Adobe Acrobat, including form creation and editing
• Ability to type a minimum of 40 WPM accurately
• Strong organizational skills with the ability to manage multiple priorities
• Ability to maintain professionalism when working with difficult customers
• Ability to obtain a Notary Public commission within 90 days of hire
Preferred Qualifications:
• Knowledge of building construction, permitting, or licensing processes
• Experience working in a municipal or public-sector environment
• Experience creating and editing PDF forms and documents
