To oversee the administrative and operational functions of the office. Ensure efficiency, compliance, and a positive work environment.

 

Key Responsibilities

 

Administrative and Policy Enforcement

  • Enforce office policies and procedures to maintain professionalism and operational efficiency.
  • Organize and manage record-keeping systems for employee documents and other office filings.
  • Ensure the security and confidentiality of sensitive data and records.
  • Ensure the company complies with all government regulations and standards.

 

Team Leadership and Staff Management

  • Hire, train, and manage the administrative staff, fostering a high-performing team.
  • Evaluate and manage the performance of assigned personnel, providing guidance and feedback.
  • Delegate duties effectively to administrative staff and supervise their work.
  • Manage internal staff relations, addressing concerns and promoting a collaborative environment.
  • Organize orientation and training for new team members.

 

Human Resources and Employee Affairs

  • Manage all employee-related processes, including vacation requests, PTO, time cards, and payroll.
  • Oversee the hiring process, including candidate evaluation and onboarding.
  • Plan and organize on-site and off-site events and activities to build team morale and engagement.

 

Vendor and Facility Management

  • Manage relationships and negotiations with office vendors and service providers.
  • Arrange service contracts and oversee the maintenance of office facilities and equipment.
  • Ensure timely restocking of office supplies and proper functionality of equipment.
  • Verify potential vendor financial and legal information for approval and incorporation into the supplier database.

 

 

Financial and Compliance Oversight

  • Coordinate external or outsourced bookkeeping and accounting services.
  • Verify new customer information and background for credit review or approval.
  • Supervise credit and collections, ensuring effective cash flow management.
  • Submit weekly payment programming and payroll to Corporate Accounts Payable for approval.
  • Review and evaluate insurance policies to ensure proper coverage, renewals, and timely payments.

 

Operational Support and Communication

  • Prepare for and participate in weekly status update calls.
  • Manage intercompany inquiries and complaints, ensuring timely resolution.
  • Maintain relationships with banks, creditors, insurance providers, and other service entities.

 

Qualifications

  • Proven experience in office management, administrative leadership, or a related role.
  • Strong organizational, multitasking, and problem-solving skills.
  • Proficiency with office management software and systems.
  • Proficiency with human resources, payroll, and bookkeeping processes.
  • Knowledge of compliance and regulatory requirements.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and ability to maintain confidentiality.

  

Profile:

 

  • BA or BS in Business Administration or Accounting with 5 years experience in similar positions (High School diploma plus ten years demonstrated experience in similar position).
  • Fluent in English and Spanish, both oral and written

 

Technical and Specific skills

  • Computer skills and knowledge of Quickbooks or similar administrative packages.
